Overview
Miami Workers Center is seeking a full-time Office Administrator that will assist day-to-day operations, including office, facilities, and organizational processes. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks. The Office Administrator will be responsible for supporting both front desk operations and internal office management functions.

Who You Are:

You are a dynamic, strategic, self-starter who is responsible for assisting the overall functioning of day-to-day operations, including finances, property management, and organizational processes under the direction of the Operations Director. You will also lead in coordinating logistics and procedures in order to ensure organizational effectiveness and efficiency. You work well with diverse teams and can handle a fast-paced environment. You have excellent emotional intelligence and interpersonal skills. You are looking to make an impact and advance effective efforts for social justice.

Primary Responsibilities:

  • Overall office administration, including maintaining MWC office space, management of vendor relationships, inventory and supplies, record keeping, and managing intra office communication.
  • Manages office operations and procedures in areas of reception, common space, equipment, supplies and inventory.
  • Manage the office to ensure effective telephone and mail communications both internally and externally and maintain professional image.
  • Manage expenses, track monthly receipt reconciliation, etc.
  • Manage office equipment and technology. Schedule maintenance and repairs when needed, troubleshoot basic technical issues with computers, phones, and internet. Liaise with IT consultants and other vendors.
  • Provides coordination of human resource paperwork for the organization including new employee office set-ups.
  • Assist with the coordinating and executing organizational meetings and events, which includes but is not limited to details such as decor, catering, entertainment, transportation, location, equipment, ordering supplies for office and supplies for programs etc.
  • Maintain all internal procedures, policies, and structures required to create an efficient and effective working environment;
  • Performs related work as required and other duties as assigned.

Qualifications and Experience:

  • Applicant must share a commitment to the organization's mission
  • The ideal candidate has 2 years of proven office administration and is proficient in relevant office/finance software.
  • Proficient computer skills, especially using Microsoft Suite and Google Suite of applications.
  • Excellent organizational and time management skills to meet deadlines.
  • Self-motivated, ability to take initiative and ability to manage multiple projects.
  • Excellent written and verbal communication skills; ability to prepare effective correspondence with regards to routine matters.
  • Ability to maintain the utmost level of confidentiality.
  • Ability to interact with and understand persons of various social, cultural, economic, and educational backgrounds.
  • Ability to work occasional evenings and weekends.
  • Bilingual - Spanish Speaking preferred

Salary commensurate with experience ranging from $50,000 - $55,000. Generous benefits package including health insurance, and vacation for full-time employees.

Job Types: Full-time, Temporary

Pay: $50,000.00 - $55,000.00 per year
