As a Data Processor II at Michael Di Pietro CPA Inc. , you will be responsible for managing and maintaining client financial records throughout the entire accounting process. This includes entering, verifying, and organizing essential documents such as tax returns, financial statements, invoices, payroll records, and other client-related paperwork into both digital and physical systems. Your role will ensure that all client files are accurate, up-to-date, and compliant with company standards and regulatory requirements.

Key Responsibilities :

File Creation & Organization : Create and organize new client financial files by gathering and structuring essential documents, including tax returns, financial statements, invoices, payroll records, and correspondence.

Ensure all client files (both digital and physical) are organized logically and easily accessible, adhering to company standards.

Data Entry & Documentation : Accurately input client data into company systems (e.g., accounting software, CRM tools). This includes contact information, financial details, payment records, and other key documents.

Ensure all client files are complete, up-to-date, and reflect the most recent financial data, including updated tax filings, invoices, and any amendments.

File Verification & Quality Control : Review incoming client documents for accuracy, completeness, and adherence to company policies and standards.

Flag any missing or incomplete documents, proactively following up with clients or internal teams to gather necessary information.

Document Scanning & Digital Filing : Scan and upload paper-based financial documents into the companys digital file management system (e.g., cloud storage or document management software).

Ensure all digital files are properly tagged, indexed, and stored for easy retrieval and secure access.

Collaboration with Internal Teams : Work closely with accountants, tax specialists, and other internal teams to ensure client files are comprehensive and regularly updated.

Provide appropriate access to client files for internal teams while maintaining confidentiality and security of sensitive information.

Client Communication : Assist in gathering additional documents or clarifications from clients, vendors, or third parties as necessary for tax filings, financial statements, or other services.

Respond to internal and external requests for client file information in a timely manner, providing clear and accurate details.

Compliance & Record-keeping : Ensure all client files are compliant with industry regulations, privacy laws, and company policies (e.g., IRS regulations, financial reporting standards).

Perform periodic audits of client files to verify they are accurate, complete, and compliant with company guidelines and regulatory requirements.

Data Reporting : Generate regular reports on the status of client files (e.g., missing documentation, incomplete filings) to assist in project tracking and client management.

Maintain records of missing or outstanding client documents and support the timely completion of any pending items within established deadlines.

Qualifications :

Education : High school diploma required; Associates degree in Business Administration, Accounting, or a related field is preferred.

Experience : Minimum of 2 years of experience in data entry, file management, or administrative support, ideally within an accounting, financial services, or client-oriented environment.

Technical Skills : Proficient in office software (Microsoft Office Suite, Google Workspace). Experience with document management systems (e.g., SharePoint, Google Drive, or other cloud-based platforms). Familiarity with accounting software and financial management tools (e.g., QuickBooks, Sage, or similar systems) is highly desirable.

Attention to Detail : Strong organizational skills and a high level of accuracy in data entry and document verification.

Communication Skills : Excellent written and verbal communication skills, with the ability to collaborate effectively with both internal teams and external clients.

Problem-Solving : Capable of identifying discrepancies in client files and working collaboratively with relevant teams to resolve issues efficiently.

Time Management : Ability to prioritize tasks effectively, manage multiple responsibilities, and work independently with minimal supervision.

Working Conditions :

This is a full-time position.

While most responsibilities will be carried out in a flexible work environment, occasional site visits or on-site data gathering may be necessary, depending on project requirements.

Candidates should have access to a reliable internet connection and a quiet workspace to manage tasks effectively.
