Reporting to the Chief Pharmacy Officer, this role will assist in the planning and execution of educational programs and events, provide administrative support to leadership, and ensure smooth day-to-day operations within the Professional Development and Education Department
Key Responsibilities:
1. Event Coordination Support
- Assist in planning and coordinating both virtual and in-person MPA events.
- Manage event registration processes, including attendee communications, confirmations, and follow-ups.
- Serve as a liaison between speakers, vendors, sponsors and participants to ensure seamless event execution.
- Prepare event materials, including agendas, presentations, and post-event summaries.
- Support logistics for conferences, meetings and continuing education sessions.
2. Administrative Support
- Manage email correspondence and scheduling for leadership and team members.
- Maintain digital files, databases and records to ensure accurate documentation.
- Assist in preparing and formatting reports, presentations, and official documents.
- Handle basic bookkeeping tasks, including processing invoices, reimbursements and financial documentation.
3. Education Support
- Provide administrative assistance for MPA’s educational programs and initiatives.
- Monitor course materials, schedules, and student communication platforms.
- Assist in collecting, organizing, and analyzing feedback from program participants.
- Support the coordination of continuing education (CE) programs, ensuring compliance with accreditation standards.
4. Other Duties
- Perform general office tasks, including data entry, research, and process improvement initiatives.
- Collaborate with MPA team members to enhance operational workflows and administrative efficiency.
- Provide support for special projects and initiatives as needed.
Qualifications & Skills:
- Associate’s or Bachelor’s degree in Business Administration, Communications, Education or a related field preferred.
- Minimum of 2 years of administrative, event planning or education program support experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.
- Experience with event management platforms, virtual meeting tools (Zoom, Microsoft Teams) and learning management systems (LMS) is preferred.
- Strong organizational and multitasking abilities with excellent attention to detail.
- Ability to work independently and collaboratively in a fast-paced environment.
- Excellent written and verbal communication skills.
Position Details:
