What are the responsibilities and job description for the Accounts Payable Specialist position at Michigan Supreme Court?
The Michigan Supreme Court is looking for qualified candidates for the position of Accounts Payable Specialist. The Accounts Payable Specialist administers financial processes by auditing accounts payable, credit card payments, encumbrances, and motor pool vehicle usage for the judicial branch to ensure accurate reporting of financial transactions. Serve as travel coordinator and procurement card program administrator for the judicial branch. Essential duties include, but are not limited to, the following:
- Audit and process all judiciary invoices assuring proper accounting information, authorized approval signatures, and registered vendors. Resolve discrepancies with agencies and make corrections on state’s accounting system.
- Provide guidance to judiciary agencies on accounts payable procedures. Research and supply payment or other information to judicial agencies, judges, county offices, courts, and vendors. Obtain copies of warrants when requested from judicial agencies or vendors.
- Process stop payment affidavits and execute the appropriate accounting steps with the state’s accounting system and Department of Treasury. Cancel undeliverable warrants or duplicate payments. Track warrant cancellations and returned EFT payments. Reissue and prepare paperwork for unsuccessful payments.
- Audit and approve travel expense requests for adherence to judiciary’s travel guidelines. Provide in-house training to staff on travel submission and provide assistance with travel and expense inquiries. Audit travel and expense exception report quarterly and correct as necessary.
- Responsible for the overall administration activities of the judiciary’s procurement card program. Liaison between judiciary and statewide procurement card program administrator. Maintain procedures that meet the state’s requirements for procurement card.
- Serve as liaison to Department of Treasury for merchant credit card payments for various programs and agencies. Reconcile bank statements, state’s accounting system records, and agency receipt records to ensure all credit card payments are properly accounted for.
- Maintain and reconcile various internal logs for accounts payable, encumbrances, work projects, and NSF checks. Audit encumbrances by verifying correct coding and balances on the state’s accounting system.
- Serve as motor pool contact for Supreme Court and SCAO. Track and reconcile DTMB reports to state’s accounting system.
- Responsible for annual escheats process of state warrants not cashed. Verify that warrants are not cashed and verify vendor addresses. If affidavit returned, stop payment on warrant and reissue warrant to vendor.
- Review undeliverable 1099s from DTMB; research and respond to inquiries by vendors and make corrections or reissues as needed.
MINIMUM QUALIFICATIONS
EDUCATION: Associate’s degree in accounting or a related field.
EXPERIENCE: two or more years of accounting related experience. Experience utilizing SIGMA preferred.

Supreme Court Remote Work Policy.
