We are representing one of our clients - a consulting engineering firm in Reno, committed to providing top-notch services to our clients. We are looking for a professional, friendly, and proactive Receptionist to serve as the first point of contact for our office. In this role, you'll help ensure the smooth functioning of day-to-day office operations while supporting staff with a variety of administrative tasks.
Compensation :
Pay Range : $18-$25 / hour
Health Benefits : Medical, dental, and vision coverage, with 50% paid by the employer.
Key Responsibilities :
Welcoming Visitors : Greet guests warmly and direct them to the appropriate office or staff member.
Handling Phone Calls : Manage incoming calls, transfer them to the right department, and take clear and concise messages when necessary.
Scheduling Appointments and Jobs : Coordinate appointments for staff and assist Field Supervisors with scheduling inspection-related tasks.
Maintaining Reception and Common Areas : Keep the front lobby and common areas neat, organized, and stocked with essential supplies.
Mail Management : Receive, sort, and distribute incoming mail to relevant team members.
Administrative Support : Perform routine office tasks such as filing, photocopying, faxing, and taking meeting minutes.
Basic Bookkeeping : Enter billing details into Xero, create new bills, and file lab results as needed.
General Office Support : Help with office-related tasks like maintaining office calendars, updating contact lists, setting up new projects on shared drives and Xero, and supporting Project Coordinators and Managers as required.
Required Skills and Qualifications :
Strong Communication Skills : Clear and professional communication with visitors, clients, and team members in person, via email, and over the phone.
Exceptional Interpersonal Skills : A warm and approachable demeanor, with a focus on providing excellent customer service.
Organizational Abilities : Excellent multitasking and organizational skills, with a strong ability to keep the workspace tidy and efficient.
Attention to Detail : Accuracy in handling information, maintaining files, and completing tasks.
Computer Proficiency : Knowledge of Microsoft Office and office software for managing emails, documents, and schedules.
Proactive and Solutions-Oriented : A positive, can-do attitude with the ability to adapt to changing situations and contribute effectively as part of a team.
