We are seeking a highly organized and proactive Office Coordinator to join our team. This role is essential in ensuring the smooth operation of our office environment. The ideal candidate will possess strong time management skills, exceptional customer service abilities, and a keen eye for detail. As an Office Coordinator, you will be responsible for managing various administrative tasks, supporting staff, and facilitating communication within the office.
Responsibilities
- Oversee the day-to-today operations of the office, including facility management and ensuring common areas are clean and functional.
- Serve as the first point of contact for visitors and clients, providing excellent customer service and support.
- Manage phone systems, directing calls appropriately and taking messages when necessary.
- Maintain organized filing systems, both electronic and paper-based, ensuring easy access to important documents.
- Scheduling routine inspections and repairs (non-emergency & emergency) with outside vendors.
- Prepare facilities for changing weather conditions; coordinate with applicable vendors (i.e. snow removal, sprinkler systems, etc)
- Conduct regular safety checks, and manage emergency preparedness (e.g. fire drills, first aid kits)
- Ensure that office supplies are stocked and ordered in a timely manner to maintain operational flow.
- Support event planning for Company Events (Meetings, Trainings, Luncheons)
- Support management with administrative tasks, such as scheduling meetings or preparing reports.
- Perform other duties as assigned to support the overall efficiency and functionality of the workplace.
Qualifications
- Proven experience as an office coordinator or in a similar administrative role.
- Strong time management skills with the ability to prioritize tasks effectively.
- Proficient in using computerized systems for scheduling, communication, and documentation purposes.
- Strong customer service orientation with the ability to handle inquiries professionally and courteously.
- Experience with phone systems and general office equipment is preferred.
