POSITION SUMMARY:
The Registrar Services Advisor plays a crucial role in supporting students, faculty, alumni, and staff by maintaining the integrity and security of academic records and ensuring compliance with institutional policies. Reporting to the Assistant Registrar, this position provides direct support in registration, academic advising, student record management, and institutional policy enforcement. The Registrar Services Advisor is responsible for assisting students with academic planning, class scheduling, enrollment processes, and graduation requirements, ensuring a seamless and positive experience.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide guidance to students regarding academic policies, course registration, and degree planning.
- Maintain student academic records with accuracy and confidentiality, ensuring compliance with institutional and federal regulations.
- Process course registrations, schedule adjustments, and withdrawals while ensuring adherence to academic policies.
- Assist with enrollment verification, transcript processing, and degree conferral documentation.
- Support faculty with course rosters, grading, and academic record inquiries.
- Generate enrollment verification letters and process student in-school deferment applications.
- Maintain and update course schedules, ensuring accuracy in the student management system.
- Assist in planning and executing commencement ceremonies, including processing diplomas and tracking student participation.
- Provide students with guidance on accessing the student portal and utilizing academic resources.
- Serve as a liaison between students and university departments to address academic concerns.
- Assist with graduation audits to ensure students meet degree completion requirements.
- Utilize various software platforms, including Jenzabar, Parchment, National Student Clearinghouse, and Microsoft Office, to manage student records.
- Perform other duties as assigned to support the Office of the Registrar.
QUALIFICATIONS:
- Strong written and verbal communication skills with the ability to effectively support students, faculty, and staff.
- Ability to exercise independent judgment and maintain confidentiality in handling student records.
- Knowledge of academic requirements, policies, and procedures.
- Customer-service oriented with a student-focused approach to problem-solving.
- Ability to analyze course prerequisites, graduation requirements, and academic policies.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks in a fast-paced environment.
- Team-oriented mindset with the ability to collaborate effectively with colleagues.
- Proficiency in data entry, student information systems, and Microsoft Office applications.
- Commitment to integrating Christian values and ethical principles into all aspects of work.
EDUCATION and/or EXPERIENCE:
- Bachelor’s degree required, preferably in education, business administration, or a related field.
- Minimum of six months of experience in higher education, preferably in student services, academic advising, or registrar operations.
- Familiarity with student information systems such as Jenzabar, Parchment, and National Student Clearinghouse is preferred.
COMPUTER SKILLS:
Proficiency in Microsoft Office applications, especially Outlook, Access, Excel, and Word. Experience with student information systems (Jenzabar, Laserfiche, or similar platforms) for academic recordkeeping, degree audits, and transfer evaluations. Familiarity with scanning software is preferred but not required. Ability to generate reports and analyze academic data to support decision-making processes.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to talk or hear and frequently required to sit, use hands to handle files, computers, and phones, and reach with hands and arms. Frequent and regular repetitive movements are required using the wrists, hands, and/or fingers. The employee will occasionally lift and/or move up to 25 pounds. Specific vision abilities include close vision, color vision, and the ability to adjust focus.

The employee is regularly in a typical office environment with adequate light and moderate noise levels. No hazardous or significantly unpleasant conditions. Air-conditioned buildings, tile, concrete, and carpeted floors, require business casual attire most days, with occasional need for business professional attire when appropriate.
