Job Description: This position can be either Federal Work Study or Non-Federal Work Study - all interested students are encouraged to apply! This is a seasonal position starting no earlier than May 3 and ending no later than August 10 (housing move in/out dates TBD)
Events & Conference Services is seeking workers for both full-time and part-time positions. The Conference Services employee will provide assistance to MNU's summer conferencing program by supporting the Summer Services Coordinator, Bell, and Cunningham staff. Campus housing provided throughout duration of employment.
Conference Services employee will aid with conference and event preparation and set-up, conference and event logistics, post-event responsibilities, and general upkeep. The tasks will vary from week to week including, physical labor, data entry, and serving as building monitors.
CONFERENCE/EVENT PREPARATION & SET-UP
- Assist with initial dorm inspections and transitions to ensure readiness for group occupancy
- Assist with initial orders and ongoing servicing of vendor-based materials (linens, blankets, etc.) and other supplies (toilet paper, cleaning materials, etc.)
- Assist with creation, distribution, and collection of registration packets, campus access cards, dorm/room keys, and meal cards
- Distribute welcome packets and linens (when applicable) to all assigned dorm rooms
- Assist with facility set-up and resets during, and between, group occupancies; maintain regular communication with respective building managers
CONFERENCE/EVENT LOGISTICS
- As necessary, assist group organizers with onsite registration
- Assist in dormitory check-in/out procedures
- Provide miscellaneous event support as required by clients, including event signage/banners, meal vouchers, supply orders, food concessions, among others
- Fulfill technical support needs ranging from general support to AV tech support when necessary
- Provide ongoing and visible accessibility to all clients throughout duration of occupancy
- Assist in servicing all feasible requests in a professional, timely manner
- Provide overnight/weekend on-call support as required
- Serve as a Building Monitor for clients during events
- Provide Box Office services for clients as needed
POST-EVENT RESPONSIBILITIES
- Ensure all event function spaces are properly cleaned and left in acceptable condition upon move-out
- Report any damages, lost items, lost/broken scan cards and keys in a timely manner
- Return all summer conferencing resources to assigned storage locations
- Conduct complete inventory of resources and identify materials to be replenished and/or replaced
GENERAL TASKS
- Report any repair or service needs to the Summer Coordinator
- Organize department facilities in preparation for the fall semester
- Record/report hours worked each week in a timely, accurate manner
- Participate in all team meetings as scheduled, including any pre-/post-event client meetings
- At all times, represent MidAmerica Nazarene University and Events & Conference Services in a professional, Christlike manner
Qualifications
QUALIFICATIONS
- Customer service orientated
- Flexibility, willing to work evenings and weekends
- Basic technology experience desirable, but not required
- Ability to lift 50 lbs.
