Description:
The practice manager assumes responsibility and accountability for the efficient and effective operation of the office, including daily operations involving personnel management and performance, patient throughput, provider relations and scheduling, department budget preparation and the overall management of assigned practice operations with a focus to maximize provider/staff productivity. The Practice Manager will be involved in strategic planning, program development, continuous quality improvement, as well as financial and budget reporting and monitoring.
Responsibilities include:
1. The Practice Manager oversees the operations of the practice in order to ensure that continuous, quality, accurate, timely and cost-effective services are provided.
2. Collaborates with providers and managers from other departments to ensure a high-quality patient experience.
3. Provides effective leadership and promotes teamwork both internally and externally. Develop goals and performance expectations for staff.
4. Establishes and updates policies and procedures in accordance with practice, facility, and system policies and procedures, standard practices of the profession, and related local, state, and federal laws.
5. Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary.
6. Responsible for patient relations and works collaboratively with professional staff and other departments to ensure the highest level of patient satisfaction.
7. Demonstrates knowledge and understanding of patient privacy rights. Maintains confidentiality of all medical, financial, or other sensitive materials and information in printed, electronic, or verbal form, which may jeopardize the privacy of patients and/or employees.
8. Responsible for the financial management and development of the practice.
9. The Practice Manager assists in the development and implementation of continuous quality improvement and monitoring on an ongoing basis to meet the mission, goals and objectives of the practice and organization.
10. Can resolve complex issues related to patient care, operations, and workflow.
11. Performs other duties and responsibilities as required, assigned, or requested.
12. Oversees the hiring, training, and supervision of staff members.
13. Schedule staff to ensure appropriate coverage within the office.
14. Manage physician schedules to ensure patient and hospital coverage.
15. Conduct and prepare monthly staff meetings.
16. Review and approve employee timecards for accuracy.
17. Address and resolve provider issues and concerns.
18. Approve, coordinate, and conduct yearly performance appraisals for non-provider staff.
19. Excels in verbal and non-verbal communication. Able to achieve consistently clear, positive, and constructive communications across all channels, from letters, emails and online messages to reports and presentations.
Secondary Duties and Responsibilities:
Assists Director of Clinical Operations with overall duties as needed to maintain office efficiency
Job Summary and Qualifications:
• Minimum of 2-5 years progressive medical office experience preferred
• High school diploma or equivalent
• Excellent oral and written communication skills
• 2 years’ experience leading groups of individuals preferred.
• Knowledge of business plans, budgeting and quality improvement process preferred.
• Ability to lead and coach staff while functioning as a team member
• Computer literate and familiar with MS Office and EMR software
