Position Overview
The Loan Servicing Image Processor is responsible for performing a variety of duties to support the loan servicing function. As an integral member of the team, this individual will maintain, create, monitor and maintain the electronic Commercial, Residential, Consumer, and Small Business Administration (SBA) loan files and retention documents. The Loan Servicing Imaging Processor will prepare, scan, operate scanning equipment, index, retrieve, store and assure the quality control of loan document images and files.
Essential Duties and Responsibilities
- Catalogs all new loan files for proper identification and filing with storage vendor.
- Monitors the electronic ticket system for document and filing requests.
- Retrieves or orders physical loan files when requests are received.
- Copies requests for loan documents.
- Manages retention of designated documents and loan files.
- Maintains accurate tracking of all loan files.
- Supports the bank with mail and email deliveries.
- Coordinates specific work tasks with other personnel within the department as well as with other departments in order to ensure the smooth and efficient flow of information.
- Understands loan documents across Consumer, Residential, and Commercial.
- Responds to inquiries relating to his/her particular area, or to requests from customers, other personnel, etc., within given time frames and within established policy.
- On an ongoing basis, receives documents related to existing loans that require scanning to the electronic file and possible long term retention.
- Reviews the completed electronic loan file for quality control.
- Handles direct communications, both written and verbal, with customers and other parties.
- Handles customer telephone calls.
- Creates an electronic loan folder within document retention program known as docStar for permanent document storage.
- Reviews and identifies loan document for proper placement within designated categories.
- Reviews the completed electronic loan file for quality control.
- Removes and retains identified documents within the designated storage area for long term retention.
- On an ongoing basis, receives documents related to existing loans that require scanning to the electronic file and possible long term retention.
- Scans closed loan documentation to the electronic file folder and reclassifies loan as closed within the document retention program.
- Reports pertinent information to the immediate supervisor as requested, or according to an established schedule; compiles information as necessary or as directed and provides data to appropriate personnel.
- Prepare and process requests in accordance with applicable procedures and policies to ensure compliant collateral perfection.
- Abides by the current laws and organizational policies and procedures designed and implemented to promote an environment, which is free of harassment and other forms of illegal discriminatory behavior in the workplace.
- Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices in support of risk management and overall safety and soundness and the compliance with all regulatory requirements; ensures that all office personnel adhere to the same.
- Performs tasks, which are supportive in nature to the essential functions of the job, but which may be altered or re-designed depending upon individual circumstances.
- Regular and predictable attendance is required.
Education & Qualifications
- A high school diploma or equivalent.
- A minimum of one (1) years related experience required.
Skill(s)
Moderate reading, writing, grammar, and mathematics skills; moderate interpersonal relations and communicative skills; moderate typing and PC skills, including knowledge of Microsoft Excel, Access, and Word; loan processing; ability to sit, stand, walk, bend, stoop, reach with hands or arms, use hands to manipulate objects, handle or feel, and lift items weighing 20 lbs. or less; visual, auditory and speaking skills.
