What are the responsibilities and job description for the Bilingual Site Receptionist - Head Start position at Mid-Willamette Valley Community Action Agency?
Are you an English/Spanish bilingual professional? Join our HeadStart program as a receptionist! The Receptionist is responsible for providing telephone coverage, reception, and clerical assistance. This may include distributing mail, word processing, photocopying, filing, or other projects as assigned.
Candidates must submit an application by 1/31/25 to be considered for first-round interviews.
This is a school year, full time (40 hours per week) position.
MINIMUM QUALIFICATIONS The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED) plus 6 months of office or clerical experience; or equivalent combination of education and experience may be accepted.
CERTIFICATES, LICENSES & REGISTRATIONS
- Driver Qualification Status not required for this position.
- Successful registration with the Central Background Registry of the Child Care Division.
- CPR/First Aid Certification or the ability to obtain within 60 days of hire.
- Food Handlers Card or the ability to obtain within 30 days of hire.
- Candidate must pass an initial pre-employment physical examination, renewable every two years.
- Candidate must pass pre-employment and random drug screenings.
KNOWLEDGE, SKILLS, AND ABILITIES
- Demonstrates tact, diplomacy and empathy when communicating with clients, staff and community partners.
- Demonstrated proficiencies in Microsoft Office (including Outlook), videoconferencing platforms, and web tools.
- Bilingual English-Spanish capabilities are required for this position.
- To qualify as bilingual, staff must pass a bilingual exam demonstrating fluent speaking, reading, and writing in English and Spanish. Required bilingual staff will receive a pay differential based on language test results.
**ESSENTIAL DUTIES AND RESPONSIBILITIES This job description is not intended to be all-inclusive. Employee will also perform other reasonably related business duties as assigned by immediate supervisor and other management as required.
- Respects the cultural diversity of children, parents, staff and community members. Regularly brings representative elements and individuals into the program.
- Answers multi-line telephones. Screens and transfers calls appropriately.
- Takes thorough and accurate telephone messages, and delivers them promptly.
- Provides basic program information.
- Greets visitors to the office. Provides friendly, informative service to all visitors.
- Provides pamphlets and other basic program information.
- Accommodates visitors by answering questions, seeking out appropriate staff to assist them, or making referrals.
- Uses the ChildPlus database to retrieve or record child or family information.
- Processes incoming and outgoing mail. Utilizes postage meter and other office equipment.
- Date stamps mail correspondence and distributes it appropriately and promptly.
- Provides clerical support whenever possible in the areas of typing, photocopying or other projects.
- Proactively seeks out community partners and creates opportunities for staff and partners to grow within the program. This includes seeking donations of materials, labor or training to benefit any or all aspects of the program.
- Maintains continuous work-related learning by attending regular and special program training events, degree and certificate programs, or comparable special studies by arrangement with the program administration, and by reading materials related to their field and specialties.
SUPERVISORY RESPONSIBILITIES
- This position has no supervisory responsibilities.
WORK ENVIRONMENT
- Indoor, office work environment with frequent interruptions and demands.
- Working with coworkers/clients over the phone and in-person.
- Occasional noise and distractions in work spaces.
- Occasional remote work.
- Close quarters, often with a client population experiencing homelessness, substance use disorders, and/or severe and persistent mental illness, and/or unpredictable behavior.

- Specific vision abilities required by this job include close vision and ability to adjust focus.
- Occasionally lift up to 25 pounds.
