We are seeking a highly motivated, reliable, and detail-oriented Executive Assistant to provide top-level administrative support to our executive leadership. The ideal candidate will be proactive, organized, and capable of managing multiple tasks with discretion and efficiency. This role requires a high level of professionalism, confidentiality, and the ability to work in a fast-paced environment.
- Manage and coordinate executive calendars, scheduling meetings, appointments, and travel arrangements.
- Serve as the primary point of contact for internal and external communications on behalf of the executive leadership.
- Prepare and edit correspondence, reports, presentations, and other confidential documents.
- Organize and facilitate executive meetings, including agenda preparation, note-taking, and follow-up actions.
- Handle confidential information with discretion and professionalism.
- Coordinate travel logistics, including flights, accommodations, and itineraries.
- Assist with strategic initiatives and special projects as needed.
- Conduct research and compile data to support decision-making.
- Liaise with key stakeholders, including board members, clients, and senior leadership.
- Manage expense reports and budget tracking for executive-level activities.
- Provide administrative support for board meetings, including preparing materials, coordinating logistics, and maintaining records.
- Perform other administrative duties as assigned to support the leadership team.
- Bachelor’s degree in business administration, Communications, or a related field preferred.
- 5 years of experience as an Executive Assistant, preferably supporting C-level executives.
- Experience working with Boards, including preparing materials and coordinating logistics.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- High level of discretion, professionalism, and confidentiality.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and project management tools.
- Ability to work independently and take initiative.
- Strong problem-solving skills and attention to detail.
