Job Summary:

We are seeking a highly motivated, reliable, and detail-oriented Executive Assistant to provide top-level administrative support to our executive leadership. The ideal candidate will be proactive, organized, and capable of managing multiple tasks with discretion and efficiency. This role requires a high level of professionalism, confidentiality, and the ability to work in a fast-paced environment.


Key Responsibilities:
  • Manage and coordinate executive calendars, scheduling meetings, appointments, and travel arrangements.
  • Serve as the primary point of contact for internal and external communications on behalf of the executive leadership.
  • Prepare and edit correspondence, reports, presentations, and other confidential documents.
  • Organize and facilitate executive meetings, including agenda preparation, note-taking, and follow-up actions.
  • Handle confidential information with discretion and professionalism.
  • Coordinate travel logistics, including flights, accommodations, and itineraries.
  • Assist with strategic initiatives and special projects as needed.
  • Conduct research and compile data to support decision-making.
  • Liaise with key stakeholders, including board members, clients, and senior leadership.
  • Manage expense reports and budget tracking for executive-level activities.
  • Provide administrative support for board meetings, including preparing materials, coordinating logistics, and maintaining records.
  • Perform other administrative duties as assigned to support the leadership team.


Qualifications & Requirements:
  • Bachelor’s degree in business administration, Communications, or a related field preferred.
  • 5 years of experience as an Executive Assistant, preferably supporting C-level executives.
  • Experience working with Boards, including preparing materials and coordinating logistics.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • High level of discretion, professionalism, and confidentiality.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and project management tools.
  • Ability to work independently and take initiative.
  • Strong problem-solving skills and attention to detail.
  • Flexibility to work beyond standard hours when necessary.
