Position Title: Administrative Assistant, FT

Services Area/Programs: Executive Management
Description of Duties: Under direct supervision, perform a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents a program or unit that provides information and assistance to internal and external customers. Provide comprehensive administrative support to the CFO, including managing calendars, scheduling meetings, and coordinating travel arrangements. Prepare and organize financial reports, presentations, and other documents for internal and external stakeholders, gathering and researching information, copying and filing, preparing notes, performing data entry, and other special projects as needed. Assist in the preparation of budgets, forecasts, and financial analyses as required. Reviews incoming correspondence and forwards appropriately or, based on a knowledge of recipient’s views, may respond for them. Maintain and update financial databases and filing systems to ensure accurate record-keeping. Assists in the administration and interpretation of policies and procedures for the organization and department. Handle confidential information with discretion and professionalism. Serve as a liaison between the CFO and other departments, facilitating effective communication and collaboration. Assist in the coordination of departmental meetings, including agenda preparation and minute-taking. May act as spokesperson for departmental inquiries. Manages complex duties that require a large degree of independent judgment. Perform general office duties such as answering phones, responding to emails, and managing correspondence. Support special projects and initiatives as assigned by the CFO. Performs related responsibilities as required by the Chief Financial Officer and/or other executive-level administrators.
Qualifications: High School diploma/GED and two (2) years of job-related experience working in an administration-related field.
Preferred Qualifications: Bachelor’s degree in Business Administration, Finance or a related field preferred. Proven experience as an administrative assistant or in a similar role, preferably within a healthcare environment. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and financial software. psychiatric or behavioral health experience. Spanish speaking and/or ASL skills preferred. Strong organizational skills with the ability to prioritize tasks and meet deadlines. Excellent verbal and written communication skills. High level of integrity and professionalism in handling sensitive information. Ability to work independently and as part of a team.
