Job Summary:
The Head Start Administrative Assistant performs a wide variety of complex administrative duties for the Head Start Program. This position is under the direct supervision of the Head Start Director.
Key Responsibilities:
· Primarily performs administrative duties in support of Head Start Director and Assistant Head Start Director; other component staff as assigned
· Maintain a calendar of activities, meetings and various events for Head Start Administrative staff.
· Participate in the duties relating to the administration of the Head Start program; assist in preparing comprehensive reports, minutes of meetings and agendas for meetings
· Type and proofread a wide variety of reports, letters, memoranda and statistical charts; type from rough draft or verbal instruction; take and transcribe dictation as required; independently compose correspondence related to assigned responsibilities.
· Responsible for coordination of Head Start Policy Council meetings to include reservations, catering order, meeting information packets, PowerPoints and handouts; contact with members, maintaining a current roster of membership both community and parents.
· Assist with training activities, pre-service arrangements to include requisitioning materials, services, and event venues.
· Prepare, update and maintain Head Start Policies and Procedures each school term.
· Create and maintain a Center Requisition tracking system using spreadsheets and/or usage of available software.
· Responsible for coordinating the Head Start Dollar Per Child Campaign to include receipt and tracking of funds.
· Limited out-of-area travel may be required.

Minimum Requirements of the Position:
· Must be a US citizen; have a Permanent Resident Card (Form I-551)
· Must have and maintain a clean driving record (NOT TO EXCEED 6 PTS)
· Must have and maintain a criminal history absent of convictions for violent crimes or for any crime against children.
· Five years’ administrative experience is desirable
· Advanced computer skills: Word, Excel, PowerPoint; Database experience; Adobe InDesign or comparable publishing software
· Two-year Associate’s Degree required; Four-year degree in business administration preferred.
