GENERAL STATEMENT OF JOB

The Admissions Technology and CRM Specialist will oversee the day-to-day management, development, and optimization of the College’s CRM (Customer Relationship Management) system, CRM Recruit, as well as related technology solutions, including Mongoose Cadence (texting platform), Salesforce Marketing Cloud (email marketing tool), and Ocelot (AI Chatbot). Under the direction of the Director of Admissions and Recruitment, this role serves as the primary point of contact for all CRM-related initiatives, data analysis, and strategies needed to drive recruitment, enrollment, and enhance operational efficiency.

SPECIFIC DUTIES AND RESPONSIBILITIES

Essential Functions:
  • Manages the day-to-day operations of the College’s CRM system, including resolving duplicate CRM records, ensuring data integrity, and troubleshooting integration issues with other software and databases and providing staff training.
  • Conducts testing for ongoing implementation of delivered and custom applications, including patches, upgrades, fixes, and enhancements to the CRM software, and consults with vendor support and IT when needed.
  • Facilitates Dual Admissions onboarding by managing CRM-based consent forms for secure data sharing between the College and Rutgers University and ensures accurate tracking of Dual Admissions applicants.
  • Develops, implements, and monitors CRM workflow processes to ensure prospective students receive timely and accurate information while automating admissions processes, campaigns, and user-specific dashboards to track inquiries and applications at various stages of the incoming student lifecycle.
  • Collaborates with key College stakeholders by overseeing specialized admissions applications, such as, Health Programs, International, Visiting, K-12 Partnerships Dual Enrollment, Rutgers University Dual Admissions and Justice-Impacted Students. Continuously improves and streamlines their enrollment processes by maintaining and optimizing their applications; implementing updates and edits; creating dashboards; ensuring data integration into the Enterprise Resource Planning system; managing applicant portals; troubleshooting issues; and conducting training sessions.
  • Establishes and maintains recruitment territories for specialty programs, including business partnerships, high schools, cities, and Rutgers University Dual Admissions. Ensures prospective students are appropriately funneled to the designated admissions and outreach staff for personalized engagement and follow-up.
  • Manages CRM tracking for Dual Admissions by providing trackable Middlesex College RFI forms on website landing pages, ensuring seamless data flow between admissions and partnership programs while supporting outreach efforts.
  • Processes admissions letters via mail and student portal notifications.
  • Configures and maintains CRM dashboards to track and display enrollment goals set by the Director of Admissions and Recruitment, enabling staff to monitor progress and adjust strategies in real time.
  • Analyzes enrollment data and system performance, offering recommendations to improve outreach, engagement, and recruitment outcomes.
  • Generates and distributes monthly enrollment yield reports, analyzing recruitment territory performance and identifying areas needing strategic outreach adjustments.
  • Manages the import of data from external sources, including college fairs, College Board purchase lists, SAT scores, and other datasets into the CRM system.
  • Conducts continuous training sessions and develop comprehensive documentation on CRM processes, policies, system configurations, and best practices to support staff, troubleshooting, and system enhancements.
  • Collaborates with the Marketing team, Director of Admissions, and Enrollment Communications Coordinator to develop and execute targeted recruitment campaigns, assess campaign performance, and refine strategies to drive enrollment goals.
  • Develops and manages unique inquiry forms within the CRM system to track the source of student inquiries, such as paid ads, free ads, or the college website. Create and maintain distinct inquiry forms for each academic program to enhance tracking and reporting capabilities.
  • Manages an assigned recruitment territory, delivers presentations to schools and businesses, represents the College at events, and supports on- and off-campus recruitment efforts.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS

  • Bachelor's Degree;
  • Two (2) years of experience working as a CRM system administrator or power user of CRM systems;
  • Strong technical skills with proven experience in CRM administration;
  • Excellent communication, project management, and problem-solving abilities;
  • Adaptability and innovation, with the ability to thrive in a fast-paced environment; and
  • Ability to translate technical CRM concepts into clear, actionable insights for non-technical staff to ensure effective system use and decision-making.

PREFERRED QUALIFICATIONS

  • Two (2) years of experience working in a higher education setting, preferably in Admissions, Recruitment, or Enrollment Management;
  • Two (2) years of experience as a system administrator or advanced user of CRM systems, such as CRM Recruit, Microsoft Dynamics, Salesforce, or a comparable platform;
  • Experience with communication and marketing platforms, such as Mongoose Cadence or Salesforce Marketing Cloud;
  • Experience with report writing and data visualization tools such as Entrinsik Informer, Ellucian Insights, or Power BI;
  • Familiarity with managing customer or student conversion funnels through CRM systems, including tracking engagement and optimizing outcomes; and
  • Professional experience in CRM-driven roles that involve customer or client conversion strategies, with skills transferable to student recruitment.
PHYSICAL REQUIREMENTS

The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly. Additionally, the following physical abilities are required:

  • Fingering: Picking, pinching, typing, or otherwise working, primarily with fingers rather than with the whole hand as in handling.
  • Hearing 1: Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make the discrimination in sound.

SUPPLEMENTAL INFORMATION

SCHEDULE
: Monday - Friday, 9:00 a.m. to 5:00 p.m., with occasional evenings and weekends
Must be willing to travel.
