Job Summary:
Serve as the first point of contact for visitors and customers, delivering professional, courteous, and informative interactions across multiple communication channels. Provide high-level administrative and customer service support to the Customer Service department. This role requires strong technical proficiency, attention to detail, and the ability to handle sensitive customer information within a dynamic, fast-paced company environment. Primary Responsibilities:
- Greet and direct all visitors in a professional and welcoming manner; issue visitor passes and coordinate with internal departments for access.
- Receive and announce deliveries; ensure timely communication and routing of packages.
- Administer and distribute inbound email inquiries submitted through the company website; triage and escalate as appropriate.
- Prepare monthly business expense reimbursement reports; verify accuracy and ensure timely submission.
- Create purchase orders and assist with reconciliation of department invoices in alignment with procurement processes.
- Prepare payment vouchers for municipal customer accounts and ensure accurate documentation.
- Process customer address updates and other changes based on lockbox payment documentation and internal workflows.
- Provide back-office support, including document management, report generation, and database entry.
- Support customer service activities by addressing general inquiries, resolving routine account issues, and escalating complex matters as needed.
- Assist with data entry, quality checks, and use of customer account management systems.
- Participate in departmental projects, systems testing, and process improvement initiatives.
- Perform other duties and special assignments as directed by the Customer Service leadership team.
Qualifications:
- High school diploma or equivalent; associate degree preferred.
- Intermediate to advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Experience customer account management platforms (Oracle CC&B) strongly preferred.
- Knowledge of general office and administrative systems and processes.
- High level of accuracy and attention to detail when handling data and customer information.
- Excellent verbal and written communication skills; professional and friendly phone etiquette.
- Strong organizational and time-management skills with the ability to multitask effectively.
- Mature interpersonal skills and the ability to work both independently and collaboratively with diverse teams.
- Bilingual (English/Spanish or other language) is a plus.
- Prior experience in a receptionist, front desk, or customer service role within a utility or regulated industry is highly desirable.
Physical Requirements:
- Frequent operation of a computer and other office equipment such as printers, copiers, scanners, and calculators.
- Ability to visually inspect, read, and interpret both hard copy and digital documents.
- Must be able to communicate clearly in person, over the phone, and through written correspondence.
- Occasionally required to move about the office to access files, office equipment, and other materials.
- Must be able to remain in a stationary position approximately 50% of the time.
