The 275,000SF facility encompasses an auditorium theater (1500 seat) that presents touring Broadway and national artists and entertainers, a mid-sized theater (400 seat) for touring programs and locally- produced theater, a four-story hands-on, interactive museum of science and art, a historical campus, and an in-house community theater and professional regional symphony.

POSITION CONCEPT

This position will be managed by the Food and Beverage Manager and will be supervised by the

Food and Beverage Manager and Senior Events Coordinator. This position will perform tasks to support planning and execution of facility rentals and catering events held at The Center.

DUTIES AND RESPONSIBILITES

The duties of this position include, but are not limited to:

EVENTS COORDINATION DUTIES:

  • Responsible for assisting with oversight of events involving hospitality services. This may include various logistical aspects of the event, such as animation plans, creating work orders/social table layouts for facility set up, arranging for linens, coordinating caterers, shopping, food displays and refills, signage needs, clean up and house management duties.
  • Develops an in-depth knowledge of the Center hospitality menu and local catering and linen/décor options, using knowledge to create hospitality proposals for internal events as well as facility use events.
  • Willing to operate/supervise bar and concession services during events or facility use events as necessary in case of a staffing emergency situation.
  • Assists with ordering of linens for assigned events.
  • Assists with backstage hospitality of performing artists as assigned.
  • Attends training and maintains TIPS and Servsafe Certification. Responsible for ensuring compliance of regulations.
  • Complete all required reports and administrative processes
  • Perform other duties as assigned by management

FOOD AND BEVERAGE DUTIES:

  • Receive product deliveries and ensure input into inventory
  • Process invoices appropriately sending copy to finance department
  • Maintains TIPS and ServSafe Certifications
  • Works all subordinate positions on a regular basis ensuring effective operations
  • Coordinates with clients to ensure safety and protection of the Center’s assets
  • Manages inventory management and POS systems to ensure menu items, recipes, item costs, invoices and inventory are correct.
  • Identifies food/beverage service issues and opportunities based on sales and guest feedback
  • Create staffing and catering estimates for show & event proposals and submit actuals for show/event settlement in a timely manner
  • Report and follow through on any safety and/or service incidents during food/beverage service and events
  • Act as person in charge (PIC) for special events or assigned events
  • Handle guest complaints in a professional, proactive and timely manner
  • Coordinate with other departments, including Production, Front of House, Ticket Office, Development and Facilities
  • Complete all required reports and administrative processes
  • Perform other duties as assigned by management

PREFERRED KNOWLEDGE, EXPERIENCE AND ABILITIES:

Qualifications:

  • Familiarity with computerized point of sale systems, inventory software, venue calendars, and staff scheduling/time clock systems
  • Strong communication skills, both verbal and written.
  • Able to adapt to change, work effectively under pressure, and produce accurate results in a fast-paced environment.
  • Must be detailed oriented and have effective multitasking skills.
  • Maintain high standards in guest service.
  • Must maintain a professional appearance and style at all times.
  • Advanced knowledge of Microsoft Office Suite.

· Able to work a flexible schedule, including nights and weekends as needed

· Friendly, outgoing with excellent customer service skills a must.

· Able to move around the venue quickly and easily

  • Maintains confidentiality.
  • Adheres to all Center policies and procedures.
  • Attend all required meetings and trainings, including but not limited to safety trainings, IT trainings, HR meetings and trainings, and DEIA trainings.

Education and Experience Requirements:

  • At least 2 years of experience with increasing responsibility in food service/hospitality operations.
  • Experience working in a customer service environment.
  • Experience working with POS inventory systems and Booking systems

SPECIAL CONDITIONS OF EMPLOYMENT

  • This position requires the ability to work a variable schedule, evenings, weekends, and holidays to meet operational needs.
  • Must be able to lift and carry 30 lbs.
  • Must be able to stand for extended periods of time.
  • Must be able to move easily up and down stairs.
