Early Childhood Special Education Support Coordinator

Position Summary

An Administrative Professional is responsible for clerical and administrative tasks. Answers questions and solves problems that are specific in nature. Works independently, and requires limited direct supervision.

Terms of Employment

Administrative / Non-Bargaining

Full-time position, 251 days per year, hours per day

Salary Range, $42,400 – $51,400

Essential Duties and Responsibilities

  • Referrals- These come from Early On, Dr.’s, Parents, etc.. Enter new students in Illuminate, start the REED process, and create a file for the therapists involved.
  • Scheduling Build Up Michigan and ECSE IEP’s, enter invite into Illuminate and notify staff and parents.
  • Entering and distributing IEP’s for ECSE, Build Up Michigan.
  • Organize Transition IEP’s, invitations, file preparation, input data and distribution.
  • Cancelling therapist’s appointments when they call in sick.
  • Helping teachers and other staff as needed. Sometimes teachers need help on the playground or loading busses, if they are short Paraeducators. Help with activities such as Open House and Spring Fling.
  • Enter immunization records into the database and submit the records at the end of November.
  • Make ECSE fall packets, update forms, mail at the beginning of August.
  • Assist making any updates in Early Childhood Preschool Handbook, make copies to give to students the first week of school.
  • Transfer of EIS and ECSE files upon request.
  • Be a backup for Scheduling picture day, reserve room for pictures, organize the room on picture day, and hand out picture packets to go home.
  • Schedule vision and hearing screenings with medical facility.
  • Illuminate trainer.
  • Get UIC codes for all new kids through MSDS and put in skyward
  • Front line for parent questions and needs.
  • Order supplies for the building

Qualification Requirements

  • Bachelor Degree preferred, plus additional training related to office administration.
  • Three years of experience working in an office where assigned duties were progressive in nature.
  • Knowledge of telephone systems and office equipment and practices.
  • Ability to create complex reports and correspondence.
  • Effective verbal and written communication skills, including the ability to effectively work with staff, other agencies and the general public.
  • Computer proficiency, including the ability to word process, create spreadsheets, maintain databases, utilize software applications, and use electronic mail.
  • Ability to multitask in busy office.
  • Physical Demands and Work Environment

    While performing the duties of this job, the employee is regularly required to stand, walk, sit, talk, see and hear. The employee is occasionally required to stoop, kneel, crouch, crawl and reach with hands and arms. The employee may occasionally lift and / or move up to 50 pounds. Infrequent travel and / or driving is necessary. Noise levels are typically low to moderate.
