The Community Events Coordinator is responsible for planning, organizing, and executing community events. This role requires cross-departmental coordination, collaboration with community partners, and support for the Public Affairs department through media contributions. - Event Execution:
- Consistency: Plan, coordinate, and execute the weekly "Music/Art/Laughter with a Mission" events without fail, ensuring that each event meets the organization’s standards for quality and engagement.
- Creativity: Bring fresh and innovative ideas to each event, incorporating diverse forms of art, music, and entertainment to keep the community engaged and interested.
- Cross-Departmental Collaboration:
- Teamwork: Work closely with other departments, such as Programs, Development, and Public Affairs, to ensure seamless event execution and alignment with the organization’s goals.
- Communication: Maintain clear and regular communication with all relevant stakeholders to keep everyone informed and involved in the event planning process.
- Community Partner Engagement:
- Relationship Building: Actively seek out and establish new partnerships with local artists, musicians, and organizations, while maintaining and nurturing existing relationships.
- Responsiveness: Be responsive to the needs and concerns of community partners, ensuring they feel valued and supported in their contributions to the events.
- Media and Public Affairs Support:
- Provide high-quality photos, videos, and other media content to the Public Affairs department promptly after each event, ensuring that the materials are suitable for social media, the website, and other promotional outlets.
- Professionalism and Accountability:
- Punctuality: Be reliable and punctual, showing up on time for all events, meetings, and other responsibilities associated with the role.
- Accountability: Take ownership of the events and related tasks, ensuring that all responsibilities are fulfilled to the highest standard and that any challenges are addressed proactively.

Key Duties and Responsibilities
- Administrative Support:
- Provide comprehensive administrative support to the advancement department, including scheduling meetings, preparing materials, and managing correspondence.
- Assist in the preparation and distribution of advancement reports, presentations, and other documentation.
- Event Coordination:
- Plan, coordinate, and execute weekly "Music/Art/Laughter with a Mission" events.
- Coordinate various other events that foster community engagement.
- Collaborate with internal departments (e.g., Programs, Development, Public Affairs) to ensure event success.
- Liaise with artists, performers, and other community partners to schedule and organize event activities.
- Manage event logistics, including venue setup, equipment needs, and volunteer coordination.
- Community Partner Engagement:
- Maintain and update a comprehensive community partner contact list.
- Build and nurture relationships with local artists, musicians, performers, and organizations to foster community involvement.
- Media and Public Affairs Support:
- Support the Public Affairs department by capturing event photos, videos, and other media for use in social media, websites, and other communication channels.
- Provide regular updates and reports on event outcomes and community engagement efforts.
- Administrative Duties:
- Track event-related expenses and assist with budget management.
- Prepare and distribute event promotional materials, including flyers, emails, and social media posts.
- Maintain organized records of event plans, community partner contacts, and media content.
Qualifications
Knowledge, Skills & Abilities
- Proven experience in event planning, community engagement, or a related field.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication and interpersonal skills, with the ability to work collaboratively across departments.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with social media platforms (e.g., Facebook, Instagram, Twitter) and basic photography/videography skills.
- Ability to work independently and manage time effectively to meet deadlines.
- Passion for arts, music, and community-based initiatives.
- Experience working in a nonprofit or community organization.
- Knowledge of local artists, musicians, and community organizations.
- Familiarity with graphic design software (e.g., Canva, Adobe Creative Suite) is a plus.
