Qualifications
The Submittal Document Coordinator provides vendor document control to MIDREX projects with secondary responsibilities of vendor expediting and expediting MIDREX Projects for document dispositions that may become overdue.
SUPERVISORY RESPONSIBILITIES:
None
DUTIES/RESPONSIBILITIES:
- Receive, review, document, track, and distribute vendor submittals in either electronic or hard copy in a timely manner daily.
- Setup templates (VDR- Vendor Document Requirements) in Vendor Document Control System for every Purchase Order issued for each project.
- Segregate documents for any one of the multiple projects accurately and route to the appropriate individuals within either SmarTeam or physically.
- Identify the appropriate requisition and VDR tag number for the submitted drawings/documents especially in cases when the identification has not been appropriately supplied by the vendor.
- Prioritize the processing of the drawings/documents in concert with the demands of the on-going projects. Most, if not all document packages, should be routed within 24 hours of receiving them. If a package cannot be routed the same (or the following) day, the lead engineer is advised as to the circumstances.
- Enter all necessary information into SmarTeam by Project, Requisition, VDR tag number, appropriate line item, submittal status (i.e. for approval, for record, etc.) and revision level.
- Following the review cycle, verify that the appropriate disposition (i.e. Approved, Revise and Resubmit, etc.) has occurred.
- Create a return transmittal of the reviewed drawings/documents. Return all documents to vendor with requested changes or approvals.
- Provide as-needed assistance to expediting, the project managers and/or project engineers regarding any issues of the Vendor Document Control system.
- Provide reports for project management on outstanding documents and/or workflows as required.
- Maintain backup data of all workflows and manuals on network drives.
- Flexibility to for short or no notice overtime to process the drawings and document backlog in support of Project schedules.
Required:
- Engineering, architectural, or construction submittal experience.
- Experience working with project management or submittal software.
- Strong computer skills using the typical suite of office systems (Excel, Word, and Outlook), and an understanding of interactive data base programs.
- Strong communicative skills for resolving issues with engineers, vendors, and expediters.
- Strong organizational skill
- Ability to prioritize work assignments
- High school diploma or equivalent with minimum of two years hands-on experience in a manufacturing/engineering environment.
- Preferred, Bachelor of Science / Bachelor of Arts degree with a minimum of two years hands-on experience in a manufacturing/engineering environment.
- Up to 10% International and Domestic based on project demands.
- Prolonged periods of sitting at a desk and working on a computer.
