Summary
The Customer Care Coordinator plays an important support role for our team and is often the first line of contact with potential clients and referrals to the firm. Your responsive and effective communication begins the pathway for lasting trusted relationships, the foundation of our service mission. Your responsibilities require well organized attention to detail, preparation of client reports, and tech savvy proficiencies with learning and implementing new technology, platforms, and software.
Responsibilities
- Phone and email communication with clients and prospects
- Update and maintain customer relationship management (CRM) system
- Manage implementation of new systems and processes
- Create and maintain workflows and task templates in CRM
- Account management through proprietary software
- Route client contracts for signing
- Schedule meetings and calls / calendar management
- Review meeting notes, identify and create follow up tasks
- Create electronic files and occasional paper client forms
- Create and manage workflows for onboarding new clients
- Daily follow up on open items including paperwork and transfers
- Complete digital and paper forms for client success
- Collaborate and coordinate marketing campaigns with financial advisor
- Draft and send investment report emails to clients
- Document scanning, mail processing, check deposits.
- Reconcile client account activity
Qualifications and Education Requirements
Bachelor’s Degree Required, prior professional office experience required.
Preferred Skills
Excellent communication, experience with digital signature software, Microsoft tools: word, power point, excel; box.com, willingness to adapt to proprietary software.
Friendly, self-starter, organized, detail oriented. Enjoys working independently. Willing to learn about personal finance topics, technology tools, and software platforms.
