The Midway Motors Auto Group is seeking a Parts Counter Clerk to sell parts to all customers at the counter, through the shop or by telephone.
Job Description
ROLE AND RESPONSIBILITIES
TASKS RELATED TO SALES AND CUSTOMER SERVICE
- Efficiently help customers choose parts and provides internal and external customers (retail and shop) with high quality services.
- Provide customers with information about accessory parts and specials.
- Ensure that customers are made aware of the entire product line.
- Answer telephone calls, indicates prices and provides any other information.
- When answering incoming calls, adopt a strategy that focuses on selling parts and/or arranging appointments.
- Solicit regular customers by telephone.
ADMINISTRATIVE TASKS RELATED TO ORDERS
- Ensure that internal requests for parts are invoiced on the after-sales department work order.
- Receive payments from retail customers and obtains credit authorization.
- Ensure that all the customers receive their copies of the invoices.
- Grant credit for returned parts, ensuring that there is an initial invoice or invoice number, in order to confirm the purchase and the price.
- Keep orderly files containing work orders, invoices, insurance estimates and specially ordered parts.
- Follow up on pending orders.
- Check files containing orders to be picked up by customers and pending orders, on a weekly basis.
- Ensure that all uncollected items no longer in demand are returned to the suppliers or stocked.
- Replenish assigned stock, daily.
- Organize and fill orders out of the stock.
- Organize orders to be delivered to body shops and ensure that all parts are labelled with the name of the customer and the job number.
- Organize orders for shipping or delivery purposes, or for daily pickup.
- Label returned parts to be replaced, as well as parts to be recycled, in keeping with the manufacturer’s policies.
- Notify the parts manager of out-of-stock items or when shop equipment requires immediate attention.
- Locate an external source for out-of-stock parts and places an urgent order, if necessary.
- Notify the technical advisor and the customer as soon as specially ordered parts come in.
MISCELLANEOUS TASKS
- Participate in the annual parts return.
- Help field sales representatives fill their orders.
- Distribute shop tools ordered by the technicians and follows up.
- Ensure that the front and back counters are clean and tidy. Clean the computers and printers every day.
- Work with the parts manager in maintaining a program to follow up on lost sales.
- Keep up-to-date on all new and improved products.
- Help receive merchandise, as necessary.
- Cooperate in keeping the parts department clean.
- Deliver the parts to the technicians, as necessary.
- Maintain a professional appearance.
- Perform other tasks, based on management requirements and instructions.
Job Description
BASIC QUALIFICATIONS (EDUCATION, EXPERIENCE, CERTIFICATIONS, LICENSES)
- High School diploma or equivalent
- Minimum of 2 years parts department and/or warehouse experience in the automotive industry
- Minimum of 2 years customer service experience
- Valid driver’s license with satisfactory Motor Vehicle Report (MVR)
PREFERRED QUALIFICATIONS
- Five or more years parts counter, service or sales experience in the automotive industry
- Knowledge of machines and tools, including their designs, uses, repair, and maintenance.
- Previous work experience working directly with the public; talking to others to convey information effectively by phone, in written form, email and in-person; actively seeking ways to help people; organize and accomplish work
- Attention to detail
- Customer-focused (internal and external customers) with the ability to give full attention to what others are saying, take time to understand the situation, ask appropriate questions, and not interrupting at inappropriate times
- Ability to analyze information and evaluate results to choose the best solution and solve problems
- Explain technical product or service information to customers
- Using computers and computer systems (including hardware and software) to enter data and process information
