OBJECTIVE / ACCOUNTABILITY
We are seeking an experienced and highly motivated Facilities Manager to oversee the care, maintenance, and construction of all our Midwest facilities. This role will be responsible for ensuring the operational functionality, safety, and aesthetic appeal of the facilities, as well as coordinating resources, preventive maintenance programs, budgeting, and construction efforts. The Facilities Manager will work closely with area managers and internal customers to ensure that all facilities meet company standards while optimizing performance and efficiency.
KEY RESPONSIBILITIES
- Overall Facilities Care & Maintenance:
- Lead the day-to-day management of all Midwest facilities, ensuring proper care and functionality of building systems, including HVAC, plumbing, electrical, and other mechanical systems.
- Develop and implement comprehensive preventive maintenance schedules to reduce downtime and extend the life of facility assets.
- Ensure that all facilities comply with safety, health, and environmental regulations while maintaining a clean, organized, and functional working environment.
- Construction & Facility Improvements:
- Manage all construction and renovation projects within the facilities, coordinating with external contractors, architects, and construction teams as necessary.
- Oversee new facility builds, expansions, or modifications, ensuring adherence to budget, timeline, and quality standards.
- Proactively identify opportunities for facility improvements to enhance productivity, reduce operational costs, and improve employee satisfaction.
- Resource Management:
- Coordinate with internal and external resources to maintain facility infrastructure, from sourcing materials and supplies to managing service providers and vendors.
- Manage facility personnel, ensuring proper training, safety protocols, and performance standards.
- Develop and implement staffing plans as required to support facility operations effectively.
- Preventive Maintenance & Operations:
- Work with operations managers to create, implement, and track preventive maintenance schedules across all Midwest locations.
- Establish key performance indicators (KPIs) to evaluate maintenance effectiveness and performance.
- Proactively identify and address potential facility issues or inefficiencies, reducing costs and improving facility reliability.
- Budgeting & Financial Management:
- Develop and manage the facilities management budget, ensuring accurate tracking of expenses and alignment with financial goals.
- Forecast and track expenditures related to maintenance, construction, equipment, and resources to stay within budget.
- Negotiate contracts with service providers and vendors to achieve cost-effective solutions while maintaining service quality.
- Coordination with Operations Managers:
- Collaborate closely with regional operations managers to ensure facilities meet operational needs and address issues that impact daily operations.
- Provide timely support for facility-related emergencies, such as equipment malfunctions or safety concerns, minimizing disruptions to business operations.
- Ensure that all facilities meet the expectations of internal customers, facilitating a seamless experience across multiple departments.
- Vendor & Contract Management:
- Manage relationships with third-party vendors, contractors, and service providers, ensuring quality service and adherence to contract terms.
- Negotiate, renew, and enforce service agreements for outsourced services, such as cleaning, security, landscaping, etc.
REQUIRED SKILLS AND QUALIFICATIONS
- Bachelor's degree in Facilities Management, Engineering, Business Administration, or related field.
- Minimum of 5-7 years of experience in facilities management, including experience in managing multiple locations.
- Strong knowledge of building systems, maintenance practices, and construction processes.
- Proven experience in managing budgets, financial forecasting, and cost control.
- Ability to lead and motivate a team while maintaining strong communication and collaboration across departments.
- Solid problem-solving skills and the ability to quickly respond to and resolve facility-related issues.
- Knowledge of safety regulations, codes, and compliance requirements.
- Excellent project management skills and experience overseeing construction or renovation projects.
- Strong interpersonal and customer service skills with a focus on meeting internal customer expectations.
- Proficiency in Microsoft Office Suite and facilities management software.
PREFERRED SKILLS AND QUALIFICATIONS
- Certification in facilities management (e.g., CFM, IFMA, LEED).
- Experience with energy management systems and sustainability initiatives.
WORK ENVIRONMENT
- This position is based in the Midwest region and may require frequent travel to multiple facilities within the region.
- Occasional evening or weekend work may be required for project management, facility inspections, or urgent issues.
