Job Summary:
The Accounting Specialist performs daily accounting tasks that support branch operations. This role will assist the accounting team in managing accounts payable (AP), accounts receivable (AR), job costing, financial reconciliation, and other administrative duties. The ideal candidate will maintain a positive attitude, communicate professionally with all team members, and ensure accurate record-keeping.
Essential Duties and Responsibilities
- Normal work hours are 8:00 AM-5:00 PM, Monday - Friday.
- Reports to the Branch Manager.
- Maintain accurate and complete records, including journals, invoices, receipts, and inventory details.
- Assist with accounts payable, accounts receivable, job costing, and financial reconciliation tasks.
- Ensure customer account charges are accurate and payments are received/applied correctly.
- Collaborate with the account team to ensure accurate job cost accounting for construction and service projects.
- Perform efficient data entry and interpretation for project records.
- Resolve vendor and customer inquiries related to projects and invoices.
- Balance vendor statements, investigate discrepancies, and manage payments/ACH.
- Assist with receiving and documenting inventory and processing vendor invoices.
- Maintain credit card transaction records and reconcile accounts as needed.
- Assist with daily collection and disbursement of mail and parcels.
- Answering incoming calls promptly and professionally, identifying and addressing callers’ needs or directing them appropriately.
- Be proactive and communicate effectively with team members across departments to support organizational goals and administrative needs.
Skills and Qualifications:
Experience:
o Proficient in Microsoft Excel (minimum 2 years, preferred).
o Familiarity with bookkeeping procedures and accounting software.
Technical Skills:
o Ability to calculate, post, and manage accounting figures with accuracy.
o Strong data entry skills with attention to detail and organization.

Pay: $18.00 - $21.00 per hour
