In this role, the Parts & Warranty Specialist will play a key role in managing parts identification and inventory, ensuring timely ordering, inventory selection and stocking, and tracking of parts. This role will provide HVAC parts related service and support to customers and team members both in person and over the phone.
JOB RESPONSIBILITES
Warehouse Duties – Primary Responsibilities
- Load/Unload trucks.
- Pack & Ship all Speedee and UPS shipments.
- Receive all inbound freight.
- Set up/pack Outbound freight.
- Deliver or notify salesman of incoming packages & Shipments.
- Put away all Inventory.
- Cycle Count Inventory.
- Add parts to Boneyard list as they end up here.
- Order Propane for the forklift.
- Order Supplies. (Strapping Material, Shrink Wrap, Cleaning supplies, Floor Dry, Rags, Tape, Packing Slip envelopes, labels, bubble wrap.)
- Clean the Warehouse.
- Throw away garbage, unusable boxes, and wood that collect in the warehouse.
- Bring Scrap to the scrap yard.
- Prepare warehouse for Annual Open House.
- Unload/Uncrate all Demo Units.
- Load/Crate Demo units for return.
- Deliver/pick up parts when needed.
- Process warranty requests including identification of replacement parts, pricing, availability, and warranty orders.
- Maintain records/paperwork of sales, returns, and customer transactions to ensure compliance to company guidelines.
- Manage and process purchase orders using order management systems to obtain required parts from vendors.
- Administer and maintain records of special orders, track warranty parts returned and update order inventory management systems. Manage and process invoices to include complete reconciliation of merchandise received against invoice.
- Accurately identify and recommend appropriate parts for customers.
- Place parts orders and manage incoming stock.
- Maintain inventory levels and ensure accurate stock counts.
- Coordinate with technicians and other departments to ensure timely delivery of parts.
- Promote and adhere to safety rules and regulations.
- Field customer questions and handle any issues that arise. Respond to email requests and inquires in a timely fashion.
- Stay current and knowledgeable on parts and products.
- Other duties as assigned and requested.
Minimum Education and Experience
- HS Diploma or GED Equivalent.
- Legally authorized to work in the U.S. on a full-time basis and does not require sponsorship in the future for an employment visa.
- HVAC parts knowledge preferred.
- Previous experience in inventory, parts management and warranty services preferred.
- Forklift certified preferred
- Ability to manage an inventory of current stock, identify the purpose of each part, and coordinate large scale part returns.
- Strong organizational skills and attention to detail.
- Ability to multi-task in a fast-paced environment.
- Excellent written, oral communication, and customer service skills.
- Proficient in Microsoft Office and familiarity with order management systems.
- This position works on-site at our MMS facility.
- Must be able to frequently sit and stand with periods of sitting at a desk and working on a computer with a variety of software applications.
- Must be able to do frequent lifting of 10-65 lbs.
- Must be able to occasionally grasp, kneel and pull.
- This role could be invited to visit a job site occasionally.
