SUMMARY
This position reports to the Executive Director of Midwest Special Needs Trust, a nonprofit organization serving people with disabilities. The Office Manager is a professional position working in an office environment with various roles within the organization to help ensure effective day to day operations. The ideal candidate will possess strong written and verbal communication skills and have expertise with budgeting processes and financial record keeping. This role requires a detail-oriented individual who can manage schedules, budgets, and team dynamics effectively. Experience in the non-profit sector is preferred. In addition, the Executive Director will offer other duties as assigned as needed for the proper administration of the MSNT operations.
RESPONSIBILITIES
The successful candidate should be capable and competent in the following areas:
- Oversee daily office operations, including ordering supplies, maintaining equipment, and managing relationships with contractors (e.g., janitorial and delivery services).
- Coordinate employee travel arrangements, including booking transportation and accommodations.
- Serve as the main point of contact for office vendors and service providers to ensure smooth operations.
- Collect mail at the post office, date-stamp and distribute all incoming mail and deliveries.
- Set up, attend, and serve as Recorder at board meetings.
- Transcribe board meeting minutes for inclusion in board packets
- Process and track vendor payments, receive and organize invoices, and maintain accurate financial records.
- Prepare reports on company expenses and assist with budgeting processes.
- Utilize QuickBooks for data entry, reconciliation, and tracking financial transactions to maintain organizational accuracy.
- Reconcile accounts between banking and investment partners to ensure financial accuracy.
- Prepare and issue 1099 forms at the end of each year in compliance with IRS regulations.
- Generate financial reports for audits and assist in ensuring compliance with all relevant non-profit accounting standards.
- Provide office support to Executive Director and Associate Director.
- The Executive Director may assign other duties as necessary for the proper administration of the MSNT operations.
QUALIFICATIONS
At a minimum, MSNT seeks a highly ethical and responsible individual with –
- A bachelor’s degree in a related field from an accredited four-year college or university and 5 years of job experience in the non-profit sector or government position is preferred.
- QuickBooks Certification is preferred.
WORK LOCATION
Onsite, in-office position based in Columbia, Missouri
COMPENSATION
Commensurate with qualifications and experience.
