Job Description :

The Process Manager is responsible for overseeing and managing the end-to-end process for the onboarding and ramp up of new physicians. This includes ensuring all tasks are completed on time, setting expectations across multiple teams, and monitoring the progress of key milestones throughout the physician onboarding journey. The position will focus on coordinating between various internal departments and external teams to meet set deadlines and ensure the smooth integration of new physicians into the company.

This position will report into the VP of Strategic Initiatives.

Remote- open to travel

Monday-Friday 8 : 30am-5 : 00pm

Key Responsibilities :

  • Process Ownership and Communication :
  • Own the end-to-end onboarding process, from the signing of the Employment Agreement (EA) to the physician's start date.
  • Set clear expectations for all involved parties, including internal teams (Operations, HR, Scheduling, Marketing, etc.) and external vendors.
  • Lead weekly calls with doctors and internal teams to ensure all milestones and expectations are met and aligned.
  • Track progress and hold teams accountable by sending weekly updates to leadership and the involved teams.

Team Coordination :

  • Oversee two distinct teams : Team 1 (from EA signed to start date) and Team 2 (ramp-up 30 days before start date).
  • Ensure that both teams are following the process and meeting deadlines through regular touchpoints.
  • Facilitate collaboration between the project manager, scheduling team, marketing, ASC admin, IT, HR, and credentialing teams.
  • Credentialing Management :

  • Track credentialing progress and ensure that all credentialing deadlines are met for physicians.
  • Manage the credentialing process within the team, providing necessary support to internal teams and liaising with external parties.
  • Measure and report on credentialing timelines and ensure that internal service level agreements (SLAs) are being met.
  • Scheduling Coordination :

  • Oversee the scheduling template creation and coordinate it with the revenue forecast to ensure alignment.
  • Manage scheduling preferences for physicians and work with the call center team to ensure smooth scheduling of patients.
  • Ensure that the call center has real-time access to data to assist with scheduling tasks, such as patient enrollment status and doctor availability.
  • Data & Reporting :

  • Track Time to Credential (TAT) and other key performance indicators (KPIs) to identify any bottlenecks in the process and ensure timely completion.
  • Provide regular status updates to leadership, with insights into progress and any potential challenges.
  • Continuous Process Improvement :

  • Identify areas for process improvement and implement changes to optimize the onboarding process.
  • Work closely with the Operations, HR, IT, and other departments to ensure processes are continually refined and streamlined.
  • Skills & Qualifications :

  • Strong project management skills with the ability to handle multiple complex tasks simultaneously.
  • Excellent communication and interpersonal skills to interact with cross-functional teams, new physicians, and external stakeholders.
  • Experience in healthcare operations or credentialing processes is a plus.
  • Ability to track and report on performance metrics and deadlines.
  • Strong organizational and problem-solving skills.
  • Detail-oriented with the ability to manage and prioritize multiple tasks.
  • Ideal Candidate : The ideal candidate will have experience in managing complex processes across multiple teams, particularly in healthcare or medical staffing. They should be proactive, able to manage expectations, and have a strong ability to communicate effectively with different departments. This position requires someone with a keen eye for detail and the ability to manage timelines effectively, ensuring the success of the physician onboarding and credentialing process.
