As a Facilities Coordinator, core responsibilities will be experienced in nature and drive operational aspects of building oversight, building safety and security inspections, maintenance, and management of FM vendor contracts. Will act as a liaison between employees and outside contractors. Primary scope of responsibility is the Iowa City Headquarter Offices and surrounding Iowa Central Region branches; however work will also include assisting the Facilities Management Lead with similar responsibilities in other areas of the MidWestOne footprint.
Responsibilities
- Manages all primary area building and equipment maintenance and repairs of bank facilities, including lawn care and snow removal. Coordinates with contractors and vendors for all locations. Manages preventative maintenance software. Determines resolutions to problems and routine maintenance. Collaborates with Facilities Management Lead, as necessary.
- Manages equipment and supply needs for all locations, including office supplies, furniture, and equipment maintenance contracts.
- Coordinates the completion of small/routine maintenance items including but not limited to small plumbing projects, electrical repair, other construction type projects, business meeting set up and tear down, etc. for the headquarters and One Place buildings. May travel to other locations as needed.
- Uses KACE ticket system to respond to open/closed tickets and document processes.
- Is responsible for oversight of HVAC maintenance and repair.
- Determines when maintenance or work needs referral to outside contractors; coordinates needs of work to be performed.
- Works with utility companies; manages use via utilization of utility management software.
- Administers and leads location inspections and in collaboration with the Bank Security Officer, prepares for emergencies by creating building evacuation and other security action plans, including business continuity, OSHA, security systems, etc.
- Responds to urgent maintenance calls, including after hour call response and serving as building contact for law enforcement, security personnel, and outside maintenance contractors.
- Monitors department budget spending, signs off on outstanding invoices, and oversees package pick-up and delivery via US Mail, UPS, Fed Ex, etc.
- Serves as a backup to the Facilities Management Department Team Leader and is responsible for providing maintenance records, reports, and documentation when needed.
- Assists with management of bank leases and lease query software.
- Other duties may be assigned.
Qualifications
- Associates degree or equivalent combination of education and related work experience.
- Two or more years of experience in supporting facility operations and functions.
