Summary of Functions
The Administrative Specialist is responsible for performing a variety of duties. As a member of the team he/she will have a fully cooperative relationship with all franchise personnel, vendors, departmental and office personnel.
General Responsibilities/Job Summary
The Administrative Specialist will respond promptly and courteously exemplifying a professional attitude at all times when handling calls, communications, or departmental requests. He/she is also responsible for assisting with special projects. Provide general support and administrative duties to the department such as responding to information requests, filing, scanning, copying, communication, and shipping.
Major Duties and Responsibilities
- Communicate to customer-partners and suppliers via email.
- Coordinate weekly system mailings – responsible for gathering materials weekly.
- Manage and produce The Mighty Catalog, gathering content and graphics from Product Managers and Suppliers (every October & November).
- Prepare budget and forecasting files.
- Maintain monthly department files (e.g. Supplier Budget Comp file).
- Prepare accounts receivable. (LARE’s).
- Prepare and distribute competitive data (NuWay), i.e. data files/pricing information from contractor.
- Maintain/update PowerPoint presentations for supplier visits.
- Upload files to FranConnect (Catalog Bulletins, Product Bulletins, New Product Announcements, other files as needed).
- Update contact files as needed (Outlook)
- Review Certificates of Insurance, send emails as needed.
- Maintain claims service report file.
- Keep franchisee listing up to date and send to suppliers as changes occur.
- Buying Guide maintenance.
- Maintenance of SDS (material safety data sheets).
- Monitor and respond to customer service inquiries.
- Assist Meeting Planner with National Meetings and Supplier Appreciation Event, coordinate Trade Shows, and Incentives; create brochures and printed materials.
Experience Requirements
- Must be proficient in Outlook, Word, Excel, PowerPoint and InDesign.
- Strong written and verbal communication skills.
- Strong analytical skills and ability to problem solve.
- Can establish priorities and handle many projects at once.
Educational Requirements
College degree preferred or equivalent work experience.
Working Conditions
Daily office hours are normally between 8:00 AM to 5:00 PM, Monday through Friday, with occasional weekend responsibilities.
