We are seeking an Administrative Assistant to work full-time in the primary office that supports persons with intellectual and developmental disabilities receiving services through the DDW and Milagro de Vida. The Administrative Assistant will provide a variety of administrative, clerical, and organizational tasks. The Administrative Assistant will assist in daily office needs as delegated depending on the needs of the company and office administration. The Administrative Assistant will deliver a friendly professional impression to visitors and ultimately assist in ensuring the smooth running of the office and help improve company procedures and day-to-day operations.
Responsibilities
- Deliver a friendly professional impression to visitors, answer/direct phone calls, and answer and/or direct inquiries to the appropriate personnel.
- Create and maintain electronic and physical filing systems as assigned.
- Maintain the office condition and organization
- Ability to communicate with clients, staff, and visitors.
- Provide general support to visitors
- Respond to and resolve administrative inquiries and questions.
- Complete tasks as assigned by administration
Skills
- Excellent verbal and written communication skills
- Excellent interpersonal and customer service skills
- Proven experience in an office setting.
- Familiarity with the Health Insurance Portability and Accountability Act
- Knowledge of office responsibilities, systems, and procedures
- Proficiency in Microsoft Office Suite and other related software
- Hands-on experience with office machines (e.g. fax machines and printers)
- Excellent time management skills and ability to multi-task and prioritize work
- Strong attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
- Bilingual, not required, but preferred
