E-Commerce Fashion Design and Product Coordinator

Role Overview

The E-Commerce Fashion Design and Product Coordinator plays a pivotal role in overseeing and executing all aspects of fashion collection development, from initial concept and design to final product delivery. This position merges the creative responsibilities of a Fashion Designer with the coordination and management responsibilities of a Product Coordinator, ensuring seamless alignment of product vision, brand identity, and market readiness. This role requires a blend of technical expertise and creative problem-solving skills to enhance our e-commerce strategies and drive sales growth. Additionally, it is ideal for a dynamic fashion professional who seamlessly blends creative design talent with strong coordination and managerial abilities to drive successful collections from conception to market.

Key Responsibilities

1. Fashion Design and Creative Development:

· Conceptualize and design innovative fashion collections aligned with market trends and brand identity.

· Create detailed sketches, technical drawings, and specifications for new products.

· Select appropriate materials, fabrics, colors, and trims to achieve the desired product aesthetic.

2. Product Development Coordination:

· Manage the end-to-end product lifecycle, from initial design through prototyping, sampling, and production.

· Works with company buyer to act as the co-point of contact with manufacturers and suppliers, ensuring timely communication and product accuracy.

· Review prototypes and samples, implementing design adjustments as necessary.

3. Inventory, Merchandise Strategy & Management:

· Develop and execute merchandise plans that align with company goals, sales forecasts, and seasonal strategies.

· Analyze historical sales data and market trends to identify opportunities for growth and assortment optimization.

· Partner with the Buying team to build-out product assortments and seasonal line plans.

· Identify and react to shifts in customer behavior, product trends, and external market conditions.

· Develop and execute merchandise plans that align with company goals, sales forecasts, and seasonal strategies.

· Analyze historical sales data and market trends to identify opportunities for growth and assortment optimization.

· Partner with the Buying team to build-out product assortments and seasonal line plans.

· Identify and react to shifts in customer behavior, product trends, and external market conditions.

· Monitor product inventory, manage stock replenishments, and coordinate merchandise allocations.

· Collaborate with merchandising and sales teams to ensure products meet market demand and sales goals.

4. Quality Assurance and Vendor Management:

· Conduct regular quality inspections to ensure compliance with design specifications and quality standards.

· Build and maintain strong relationships with vendors, manufacturers, and external partners, managing negotiations on pricing, timelines, and quality expectations.

5. Trend Analysis, Marketing and Promotion Support:

· Conduct ongoing trend forecasting, competitive analysis, and consumer insight research to inform product designs.

· Provide strategic input to merchandising and marketing teams based on trend analysis and market intelligence.

· Analyze production costs and market conditions to recommend strategic pricing for optimal profitability.

· Maintain accurate cost sheets, pricing structures, and profit margin analysis.

· Prepare comprehensive reports on product performance, inventory levels, and sales trends.

6. Collaboration & Communication

· Work closely with Buyers to ensure product selection aligns with sales goals, seasonal themes, and inventory targets.

· Collaborate with the eCommerce team on product launches, aligning marketing calendars, and planning promotions.

· Communicate regularly with warehouse and logistics teams to monitor inbound product timelines and resolve delays.

7. Pricing, Cost Management, Reporting & Analysis

· Generate weekly and monthly performance reports, including sell-through rates, top and bottom performers, and inventory aging.

· Utilize key performance indicators (KPIs) such as conversion rates, revenue per SKU, return rates, and gross margin to evaluate product success.

· Recommend strategic adjustments, such as reorders, markdowns, or assortment shifts, based on performance insights.

· Track and report on OTB (open-to-buy) to ensure spending remains within budget.

· Analyze production costs and market conditions to recommend strategic pricing for optimal profitability.

· Maintain accurate cost sheets, pricing structures, and profit margin analysis.

· Prepare comprehensive reports on product performance, inventory levels, and sales trends.

Key Performance Indicators (KPIs):

  • Sell-through rates by category and SKU
  • Accuracy of sales and inventory forecasts, inventory turnover and weeks of supply
  • Gross Margin return on investment (GMROI)
  • Reduction in out-of-stock and overstock items

Skills & Competencies

  • Strong analytical and quantitative skills with proficiency in Excel, Google Sheets, and inventory management tools.
  • Experience with planning systems or WMS tools (e.g., Shopify).
  • Familiarity with e-Commerce platforms, such as Shopify, is a plus.
  • Understanding of fashion industry cycles, trends, and customer behavior.
  • Highly organized with the ability to manage multiple categories and timelines simultaneously.
  • Excellent communication and interpersonal skills for cross-functional collaboration.
  • KPIs Monitoring, Benchmarks, and Dashboards
  • Bachelor’s degree in Fashion Merchandising, Business, Retail Management, or a related field.
  • 5 years of experience in eCommerce, specifically in planning, inventory coordination, or buying and merchandising.
  • 5 years of experience with Shopify, Tech Pack, Inventory Management, and Analytics.
  • 2 years of experience with new AI design software such as thenewblack.ai
  • 2 years of experience in creating a secure and reliable focus group to evaluate designs based on feedback from them.

Preferred Skills:

  • Strong creative vision combined with practical knowledge of fashion design processes.
  • Familiarity with sustainable and ethical fashion production practices.
  • Ability to travel occasionally to meet with vendors, attend trade shows, or conduct market research.

  • Must be comfortable navigating ambiguity and adjusting priorities quickly in a digital retail environment.
