Job Title: Conference Logistics Manager
Direct Report: Production Director
Job Brief
Conference Logistics Manager is a part time position, who will primarily be working with the production director on the Oregon Active Transportation Summit.
Required Dates on Site at Event
April 22 - 25, 2025
Other dates pre and post event are flexible.
Position Duties and Responsibilities
Key Responsibilities
- Oversee day-of venue operations including room setups, signage placement, and overall venue flow
- Manage on-site registration processes, badge distribution, and attendee inquiries
- Coordinate with venue staff and audiovisual technicians to ensure all meeting rooms are properly equipped
- Supervise catering services and meal functions, monitoring quality and timing throughout the event
- Direct and coordinate on-site staff and volunteers, providing clear assignments and communication
- Troubleshoot and resolve logistical issues as they arise to maintain smooth operations
- Monitor event timing and facilitate transitions between sessions to maintain the conference schedule
- Oversee breakdown and load-out processes at conclusion of the conference
Qualifications
- 1-2 years of experience in event planning or conference management
- Strong organizational skills with exceptional attention to detail
- Outstanding communication and interpersonal skills
- Proven ability to manage tight deadlines
- Problem-solving aptitude with capacity to make quick decisions in high-pressure situations
- Experience with budget management and financial reporting
Physical Requirements
- Ability to stand and move for extended periods during events
- Capacity to lift and move items up to 25 pounds
- Flexibility to work evenings and weekends
Preferred Qualifications
- Experience with Google Workspace and Google Sheets
- Familiarity with project management / communication systems (Slack, Asana)

General Hourly Commitments
- Estimated general weekly hours: 16-20 hours
- On Site Days: 10 to 12 hours
