The Milken Institute’s events and programmatic activities, involve the exchange of ideas with leaders from around the world. The Institute hosts more than 200 events each year, with our annual flagship event, Global Conference, bringing together 4,500 participants from around the world, featuring more than 900 speakers throughout 200 sessions over the course of the event.
Position Overview
The Senior Associate, Global Event Operations who will play a critical role in supporting our event planning processes through data analysis, strategic reporting, and efficient resource allocation. This role requires an analytical thinker who can translate complex data into actionable insights that optimize event performance and elevate our business strategy. This role requires strong organizational skills, excellent communication, and the ability to work in a fast-paced environment.
The ideal candidate must possess a mix event operations knowledge, strong data analysis, project management, technology experience, and great communication skills as well as the ability to work with a variety of internal stakeholders with varying work styles and priorities.
Responsibilities
This position will work in a professional office environment on a hybrid schedule consisting of three (3) days per week reporting in-person to the Santa Monica office location (Tuesday – Thursday), with the remaining two (2) days working remotely. Please understand, this schedule is subject to change at the Institute’s sole discretion.
This person will also be required to travel occasionally to other offices and/or venues to assist with events as needed, requiring occasional work outside of traditional hours. International along with domestic travel is possible. Additionally, this position requires interacting virtually on a regular basis with Milken Institute staff based in other locations in the United States and around the world.

Responsibilities
- Data Analysis & Reporting: Analyze event data, including attendee feedback, budget performance, and ROI metrics, to identify trends and opportunities for improvement.
- Event Timeline & Scheduling: Develop and maintain detailed event timelines, ensuring all milestones, deadlines, and deliverables are met.
- Forecasting & Budgeting: Develop financial models to forecast event budgets, compare projections vs. actuals, and assess resource allocation.
- Process Improvement: Identify inefficiencies in event operations and propose innovative solutions to streamline workflows and enhance team productivity.
- Dashboard Creation: Build and maintain interactive dashboards for real-time data tracking, including KPIs for event success and vendor performance.
- Stakeholder Collaboration: Work closely with internal departments, including finance, marketing, and logistics, to align goals and deliver data-driven recommendations.
- Vendor & Contract Analysis: Evaluate vendor proposals and contracts for cost-effectiveness, ensuring compliance with budget constraints and quality standards.
- Performance Measurement: Establish metrics to measure the impact of events, compiling post-event reports and making strategic recommendations for future planning.
- Duties as Assigned.
- Bachelor’s degree in Business Administration, Event Management, Data Analytics, or a related field.
- Minimum 5 years of experience in event project management, data analysis, financial modeling, or business analysis, preferably in an event or hospitality setting.
- Proficiency in data analysis tools (e.g., Excel, Tableau, or Power BI) and familiarity with event management software.
- Proficiency in with project management software (e.g., Airtable, Asana)
- Strong analytical and problem-solving skills, with a keen eye for detail.
- Excellent communication skills to effectively present complex information to non-technical stakeholders.
- Ability to manage multiple projects and meet tight deadlines in a fast-paced environment.
- Experience in corporate event planning or a strong understanding of the events industry is a plus.
