This job description indicates the normal type and level of work expected of the incumbent. Incumbent may be asked to perform other duties as apparent or assigned.
- Receives and directs walk-in, email, and telephone requests for information and services in a professional and friendly manner. Responds to inquiries and assists the public, employees, and officials.
- Performs various administrative support functions for the office. Reviews and edits county communications to ensure consistency, accuracy, and adherence to policies and standards. Assists with scheduling meeting rooms, ordering equipment and supplies, notarizing documents, and processing mail.
- Schedules and prepares County Board agenda items, committee meetings, and board minutes for review. Organizes and maintains documents for retention such as county resolutions, ordinances, contracts, grants, and agreements. Coordinates the annual calendar of public meetings and ensures compliance with Open Meeting Laws.
- Assists in maintaining personnel records and preparing for labor negotiations. Assists with recruitment processes by completing employment verifications, NetStudies, coordinating background checks, and other pre-employment requirements. Manages employee recognition programs.
- Verifies accounts payable invoices, processes expense reports, compiles reimbursement requests, submits claims for payment, tracks registration fees, and compiles financial documentation. Assists with budget preparation by compiling reference data, entering financial figures, and generating financial reports.
- Assists with the creation and distribution of informational materials, including news releases, brochures, and multimedia content. Updates and maintains the county website, ensuring accuracy and accessibility.
- Conducts research, compiles data for reports, and assists with special projects assigned by leadership.
- Provides executive administrative assistant support to the County Administrator and Commissioners by managing schedules, coordinating meetings, preparing agendas, and handling correspondence.
- Two years of post-secondary education and two years of work experience in a related field, or an equivalent combination of education and experience.
- Class D Driver’s License.
- Must successfully complete a criminal history background check.
- Notary commission by the Minnesota Secretary of State within first year of employment.
