Billing Office Manager Position Summary
Serves as the principal Manager for all Billing functions and will work closely with department managers for operations and policy analysis and or updates as needed. Provides supervision and coordination for billing staff including but not limited to training, education, follow up, AR review and assignment, billing policy updates, file maintenance profile updates, manage staff time and vacation requests.
Billing Office Manager Duties & Responsibilities
- Manage current A/R reports to reduce A/R and increase revenue by assigning to appropriate staff, touching base with staff for status of resolution and trending of AR.
- Hold staff accountable for assigned AR resolution and to train staff to trend patterns or issues.
- Monitor staff time and attendance as well as time off requests- manage staff.
- Have detailed understanding of health care billing accounts and how to work them from charge entry to full resolution.
- Maintain knowledge of current Insurance contracts to provide support to billing staff on unpaid claims and invoices, understand LCD and keep current on billing changes.
- Ability to provide direction to staff in regards to utilized programs of the organization IE Microsoft Office products, Nextgen, EMR, HER, etc.
- Understand CPT codes, HCPC’s, ICD9 and ICD10 and how to resolve claim denials.
- Must maintain knowledge of all billing department functions IE: data entry, charge posting, payment posting, ERA, EDI filing, denials, patient communications, insurance appeals and follow ups, end of days, etc.
- Ensure month end processes are completed correctly and timely, analysis of charges posted to scheduled patient for accuracy of all charges being posted.
- Have an open door policy with staff communication and follow up.
- Be a problem solver who can think outside the box for growth.
- Ability to spreadsheet and create formulations for analysis of revenue.
- Work closely with company Officers/Directors on revenue review and policy updates as needed.
- Work closely with physicians on charge changes and updates to coding fee tickets.
- Work with department managers to ensure offices and staff conflicts are minimized, open communications to necessary staff regarding insurance protocols and changes.
- Additional projects as assigned by Officers/Directors.
- Comply with current HIPPA and OSHA and Risk Management guidelines to ensure the safety and privacy of the patients and other employees
Billing Office Manager Qualifications
- High school diploma or general education degree (GED)
- Minimum five (5) years hands on experience and/or training; or equivalent combination of education and experience. This includes Management of staff.
- Above average hands on knowledge of Microsoft office products and computer programs.
- Minimal end user IT experience.
- Ability to effectively present information in one-on-one and small group situations to patients and other employees of the organization.
- Ability to write detailed and precise correspondence to patients, attorneys and insurance carriers.
