Position Philosophy / Summary :

The Director of Ambulatory Services and Regional Specialty Operations assists the Multi-Specialty Market Director and Executive leadership in the overall efficiency, effectiveness, and consistency of operational processes. The Director of Ambulatory Services and Regional Specialty Operations oversees ambulatory operations, improvement processes, and regulatory compliance in coordination with the Nurse Manager and Compliance Department. The Director of Ambulatory Services and Regional Specialty Operations analyzes and synthesizes data from multiple sources to identify trends and the root causes that drive a proactive improvement approach. In addition to overseeing and assisting in maintaining regulatory compliance pertaining to the Ambulatory Services Division, the Director of Regional Specialty Operations facilitates the growth and success of assigned Specialty Practices in coordination with operational objectives set forth by the Multi-Specialty Market Director and other Executive leadership.

Essential Duties and Responsibilities (and other responsibilities as applicable) :

  • Oversight of all aspects of nursing care within the ASC through direct communication and collaboration with ASC Nurse Manager
  • Support Regional Specialty physician's practices and market leaders across critical aspects of day-to-day functions of the business
  • Ensure bi-directional communication between Operations leaders, physicians' offices, and corporate departments
  • Consistently review operational reports to prepare regional summaries and identify areas of concern for existing and newly acquired practices
  • Perform process validation within the medical practices
  • Serve as a conduit during medical practice acquisitions to help design effective operational processes and ensure staff / provider competency
  • Ensure key projects and strategic initiatives are effectively operationalized
  • Partner with Regional leadership to establish routine list of reports for consistent analysis (e.g., overtime, visit analysis, PIVT, rounding, Athena buckets, missing slips, open encounters)
  • Collect data from practices and produce reports (e.g., provider time off).
  • Compare data from multiple sources to identify regional trends, areas of concern (i.e., outliers) for further review by Regional / practice leadership, and action steps to initiate improvements.
  • Perform site visits to validate key processes
  • Partner with Compliance and Process Improvement Support Lead to ensure policies, procedures and best practice workflows are fully operationalized
  • Participate in project meetings to assist in developing implementation strategies for strategic initiatives and corporate priorities
  • Track open items, initiate follow ups and perform implementation tasks on behalf of region (e.g., referral tracking and leakage rates)
  • Partner with acquisition team to design optimal workflows (e.g., ordering of / access to ancillary services, referrals, specialty services), monitor key performance indicators during transition, and identify areas of concern for attention of Regional / practice leadership
  • Partner with Operations Trainers during acquisitions to help oversee completion of training plans, progress with mentoring programs, and assessment of key competencies
  • Work with practice leaders to organize and support regional meetings and outreach programs (PODs, Regional PMs, Open Houses, Sponsored events, etc.)
  • Partner with corporate departments on behalf of practice leadership for support of special projects (marketing initiatives, pilot programs, facility enhancements, equipment upgrades)

Required Knowledge and Experience : 3 years experience in Ambulatory Surgery in an Administrative position, with knowledge of State and Federal auditing processes and a strong background in maintaining facility compliance. Experience coordinating physician scheduling across different locations and a strong background in management and staff oversight.

Certificates, Licenses, Registrations : Bachelor ' s degree minimum, Nursing degree / license required for Ambulatory Services duties

Supervisory Responsibilities : This position directly supervises and works with the Nurse Manager of the surgery centers, practice managers, associate practice managers and team leads, and their staff within Millennium. This individual will carry out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, directing work; appraising performance; addressing complaints and resolving problems.
