JOB DESCRIPTION:

Miller Construction Services, a trusted leader in the industry, is seeking a skilled and dedicated Project/Proposals Coordinator to join our team. This individual will be responsible for responsible for planning, coordinating, and directing activities related to our construction projects, ensuring that all phases are executed efficiently and in alignment with company standards. Your expertise will help drive project success from inception through completion, facilitating communication and collaboration among stakeholders.

ROLE AND RESPONSIBILITIES:

  • Collaborate with subcontractors, vendors, and project staff to develop comprehensive and competitive construction proposals for projects of varying scales, ensuring alignment with client requirements and industry standards.
  • Manage the full lifecycle of proposal preparation, including gathering necessary information, drafting content, and coordinating reviews to ensure timely submission.
  • Maintain a database of proposal templates and best practices to streamline future submissions and enhance consistency in messaging.
  • Oversee the documentation and processing of change orders, ensuring accuracy and compliance with project specifications.
  • Establish clear project objectives, policies, procedures, and performance standards that align with contract specifications and optimize project workflows.
  • Identify and implement strategies to streamline project processes, leveraging our project database system for enhanced efficiency.
  • Explore and integrate technology solutions that improve and optimize workflow throughout the project lifecycle.
  • Partner with supervisors and project managers to support various phases of project management, addressing lifecycle tasks, issues, and change orders effectively.
  • Initiate and manage the permit process, ensuring compliance with local jurisdiction requirements through proactive follow-up.
  • Provide timely support for urgent project issues, including resolution of critical items that may arise during evenings or weekends.
  • Engage in weekly meetings with project managers to foster teamwork and enhance overall project execution strategies.
  • Assist project managers in tracking project milestones and providing status updates to clients and management, including preparing reports and maintaining effective communication.
  • Collaborate with contract administrators to oversee the financial aspects of contracts, ensuring thorough reviews and audits to maintain project expense integrity.
  • Conduct audit reviews to ensure efficient and comprehensive project closeout processes.
  • Other duties as assigned

ROLE REQUIRMENTS:

Education:

  • High School diploma or equivalent required.
  • Bachelor’s degree in Construction Management, Civil Engineering, Business Administration, Communications, or similar field preferred.

Experience:

  • Minimum of 2 years experience in project coordination or proposal development within the construction industry, demonstrating an understanding of project lifecycle and proposal best practices.
  • Experience collaborating with cross-functional teams, including subcontractors, vendors and project managers.
  • Experience in managing change orders and permits, with keen attention to detail and adherence to compliance standards.

Skills & Competencies:

  • Ability to manage multiple projects and proposals simultaneously while ensuring deadlines are met.
  • Capable of identifying challenges and developing effective solutions in a fast-paced construction environment.
  • Ability to work effectively both as a collaborative team member and independently.
  • Ability to adapt to changing priorities.
  • Excellent verbal and written communication skills.
  • Computer literacy required.
