Miller Johnson, one of Michigan’s largest full-service law firms, is seeking an experienced Regional Office Manager for our downtown Detroit office. This position serves as the office liaison to ensure continuity of office operations with firmwide policies, practices, and expectations for both attorneys and staff.

Responsibilities:

  • Supervise and manage legal administrative and support staff in the Detroit office, including Legal Administrative Assistants, Support Services, and Reception.
  • Partner with the Human Resources team to facilitate the legal administrative and support staff hiring process as well as enhance the training, onboarding, engagement, and retention of legal administrative support staff.
  • Set clear job expectations and enhance team member performance by providing ongoing coaching and guidance; addressing any performance concerns, partnering with Human Resources as appropriate.
  • Conduct timely performance reviews with input from attorneys and others and make recommendations for salary assessments on an annual basis.
  • Foster open and frequent communication with the legal support team through regular meetings, check-ins, and feedback sessions.
  • Review, assign, and manage the attorney assignments for legal administrative support staff to ensure workflow production and exceptional service to clients.
  • Proactively manage workload capacity across the legal administrative support team and address any workload assignment issues, using firm systems and providing reports as needed.
  • Coordinate legal administrative support staff and time-off requests to ensure coverage that consistently meets the needs of attorneys and clients.
  • Review and approve timecards to ensure timely payroll submission.
  • Ensure the smooth operation of the office, including managing supplies, equipment, mail, hospitality, and facilities.
  • Stay up to date on best practices in the legal industry and actively look for ways to continuously improve our administrative support.
  • Maintain positive relationships with attorneys and staff, addressing any concerns or issues promptly and professionally, involving Human Resources leadership as appropriate.
  • Resolve policy questions with input from the appropriate support departments.
  • Serve as the office liaison to the Human Resources team as it relates to onboarding, integration, training, benefits, communication, etc. for all attorneys and staff.
  • Anticipate and support the office Managing Member in matters that relate to oversight of staff, employee relations, and continuity of office operations.
  • Support the planning and execution of firmwide or office-specific employee events.
  • Ensure compliance with legal and regulatory requirements, including maintaining confidentiality and security of sensitive information.
  • Follow all ethical, HR, safety, and security policies and procedures.
  • Serve as backup for other team members as needed.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Experience in a law firm or other professional services setting is required.
  • Minimum of 5 years administrative experience with at least 3 years of management experience.
  • Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and Zoom.
  • Ability to effectively lead and manage others.
  • Excellent communication (written and verbal), interpersonal and relationship skills.
  • Ability to think creatively with an aptitude for identifying issues, problem-solving, and implementing proactive solutions.
  • Exceptional client service skills, with discretion and judgment to ensure client confidentiality.
  • Ability to be flexible and work collaboratively in a fast-paced, service environment.
  • Proactive, organized and detail oriented.
  • Able to work independently, plan ahead, manage multiple tasks simultaneously, move projects forward and meet deadlines.
