Position Summary
This dual-role position combines executive-level support with office management responsibilities. You will be the go-to person for ensuring our office runs efficiently while also handling scheduling, communications, and administrative tasks for firm leadership.
Key Responsibilities
Office Management
- Oversee day-to-day office operations, supplies, and client relationships
- Manage document filing systems—both physical and digital—ensuring organization and compliance
- Assist with onboarding and offboarding employees, including setting up workspaces and systems
- Assist with onboarding and offboarding Clients, including engagement letters and CSM Managment)
- Coordinate IT support requests and ensure office equipment is maintained
Executive Assistant Support
- Provide direct administrative support to managing partners and senior staff
- Schedule meetings, manage calendars, and coordinate travel arrangements
- Draft and proofread correspondence, presentations, and reports
- Handle confidential information with a high degree of discretion
- Assist with client communications and follow-ups as needed
Additional Support
- Help with basic bookkeeping tasks (QuickBooks, expense reports, etc.) if applicable
- Support marketing or business development efforts (event planning, newsletters, etc.)
- Organize firm events, client meetings, and staff appreciation initiatives
Qualifications
- 5 years experience in office management, executive support, or a similar role (CPA/financial services experience preferred)
- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
- Proficiency with Microsoft Office Suite, Google Workspace, and document management systems
- Experience with accounting software (QuickBooks) is a plus
- Ability to work independently, handle sensitive information, and adapt in a fast-paced environment
