Our client located in Downtown Indianapolis is seeking a Legal Administrative Assistant who is responsible for legal administrative and executive assisting duties including secretarial support, complex document editing, creating tables and spreadsheets, project management, calendar and travel management, and maintaining paper and electronic files.
Responsibilities
- Create, edit and proofread complex legal documents using advanced word processing skills and software knowledge.
- Convert PDF documents into various formats, ensuring alignment with style requirements.
- Troubleshoot documents as needed.
- Draft, edit and proofread a variety of complex documents for correct spelling, grammar, punctuation, format and content.
- Create and maintain client files.
- Assist with timekeeping, transcription, and payment processing requests and coordinating billing processes.
- Scheduling and calendar management.
- Travel arrangements and expense report processing.
- Communicate directly with clients and courts.
- Manage attorney memberships and credentials.
Requirements
- High school diploma from an accredited institution.
- Five years’ experience within a law firm and/or in a high-level executive assistant role.
- Expert in legal administration and organizational skills, including excellent verbal and written communication skills.
- Expert in legal administration tasks including, but not limited to, document preparation, filing, time entry, expenses, travel arrangements and calendar management.
- Advanced experience in word processing, including creating, formatting and revising of document.
- Expert-level skills in Microsoft Outlook, Word, PowerPoint and Excel functions, with an aptitude for quickly learning various other program.
