We are seeking a highly organized and detail-oriented Manufacturing Administrative Assistant to support office operations in our manufacturing facility. This role is essential for ensuring smooth workflows by handling administrative tasks, customer service, order processing, purchasing support, and coordination across departments.

Key Responsibilities:
Customer & Order Management
- Receive and process customer purchase orders via fax or email.
- Prepare and maintain records for customer purchase orders, including blueprints, shop travelers, and QC folders.
- Act as a customer liaison, addressing inquiries related to delivery, pricing, quality, quantity, and service.
- Coordinate shipping dates with plant management to ensure timely deliveries.
- Handle customer complaints and feedback, gathering all relevant information for resolution.
Administrative & Job Records Management
- Perform general clerical duties such as photocopying, scanning, and filing.
- Assist with data entry and maintain accurate job records, including AP invoices and other documentation.
- Reach out to subcontractors to check on job status and update internal systems.
- Answer phone calls, provide excellent customer service, and direct inquiries appropriately.
- Greet and sign in site visitors, directing them to the appropriate person or department.
- Assist with scheduling deliveries and pickups to ensure smooth operations.
Purchasing & Compliance Support
- Assist management and production engineers in generating purchase orders, placing orders, and processing goods receipts.
- Ensure compliance with federal, state, and local environmental, health, and safety regulations.
- Ensure adherence to all company policies while maintaining a professional and organized work environment.
- Perform additional duties as assigned to support overall operations.
Qualifications & Skills:
✔ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
✔ Strong clerical and data entry skills with a high level of accuracy
✔ Excellent communication and customer service skills
✔ Friendly and professional demeanor in customer interactions
✔ Ability to multitask and prioritize in a fast-paced environment
✔ Previous office, administrative, or clerical experience preferred
✔ Experience with purchasing is a plus

Schedule: Monday–Friday, 8-hour shifts
