MAJOR PURPOSE
The Shipping Coordinator is responsible for managing the end-to-end shipping process to ensure timely, accurate, and efficient delivery of goods. This role includes coordinating shipments with carriers, preparing and processing shipping documentation, tracking orders, and ensuring compliance with company policies and regulations. The Shipping Coordinator also maintains detailed records, monitors freight costs, and actively contributes to process improvements, driving enhanced operational efficiency and cost-effectiveness in the shipping department.
MAJOR RESPONSIBILITIES
- Accountable for accurately creating and completing shipments within the Acumatica ERP system to ensure timely and complete deliveries.
- Ensure all shipments are dispatched and delivered on schedule and in full, meeting customer expectations.
- Asset Dispatching: Coordinate shipments with carriers including FedEx, LTL, and UPS to ensure proper delivery methods are used.
- Process all necessary shipping documents to support invoicing and ensure proper record-keeping.
- Work closely with the Sales department to ensure all shipments are accurate and meet customer requirements
- Delegate and prioritize the pick schedule, ensuring efficient workflow and timely coordination of shipments.
- Oversee the Quality Management System (QMS) to ensure compliance with operational standards and best practices.
- Report Key Performance Indicators (KPIs) during weekly operations meetings, tracking shipping performance and identifying improvement areas.
- Call customers to confirm delivery details, ensuring smooth receipt of shipments.
- Adhere to 6S safety policies and procedures, maintaining a safe working environment.
- Maintain a clean, organized, and efficient workspace in line with safety and operational standards.
- Provide backup support for picking and shipping tasks when needed and cross-train to assist in the receiving department.
- Perform other duties as assigned

- Proficient in Microsoft Office Suite and familiar with ERP systems or Warehouse Management Systems (WMS).

KEY PERFORMANCE INDICATORS (KPI’s)
- Shipping accuracy: Maintain a high standard of shipments that are correctly packed, labeled, and documented, reducing errors and returns.
- Quality Management System QMS Inspection Completion Rate – Measures the percentage of shipments that undergo and complete the final inspection process in compliance with QMS requirements.
- On-Time Dispatch & Routing Efficiency: Monitoring or improve efficiency of shipments that are dispatched and routed on time according to the schedule.
- Pick and Scan Accuracy Rate: Calculate the selection and retrieval process of the right products from inventory. A high pick and scan accuracy rate is crucial for customer satisfaction and minimizing returns
EDUCATION/EXPEREINCE:
- High school diploma or equivalent (required).
- Associate’s or Bachelor’s degree in Logistics, Supply Chain Management, or a related field (preferred).
- Minimum of 2 years of experience in shipping and receiving or logistics coordination, ideally in a manufacturing, distribution, or retail
- Experience with forklift desired.
ADDITIONAL REQUIREMENTS
- Must be able to frequently stand, walk, bend and squat and reach above shoulder level
- Requires intermittent periods during which continuous physical exertion is required, such as lifting material or equipment, some of which may be heavy or awkward
- Must be able to occasionally lift/carry up to 75lbs.
- Must be able to do repetitive simple grasping, fine manipulation, and pushing & pulling on a frequent basis.
- Must possess a valid driver’s license and drive to and from work locations.
- Must be able to travel as required for company business.
