Job Summary
The Executive Assistant to the Provost at Millsaps College is responsible for providing high-level administrative support to the Provost, ensuring efficient and effective management of administrative tasks, and contributing to the overall success of academic and administrative functions within the institution. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion.
This position works on-site in Jackson, MS. This is a 37.5-hour-per-week position with regular office hours from 8:00 am – 4:30 pm with a one-hour unpaid lunch break. .
Job Duties
- Coordinate and manage the Provost’s schedule, including appointments, meetings, and travel arrangements.
- Prioritize and schedule meetings, ensuring alignment with strategic priorities and deadlines.
- Act as a liaison between the Provost and various internal and external stakeholders, including faculty, staff, students, and external partners.
- Draft, edit, and proofread correspondence, reports, and other documents.
- Plan, coordinate, and execute meetings, conferences, and events hosted or attended by the Provost.
- Prepare meeting materials, agendas, and minutes as needed.
- Conduct research on various academic and administrative topics as directed by the Provost.
- Compile data and prepare reports to support decision-making processes.
- Manage office operations, including maintaining records, filing systems, and office supplies.
- Provide secondary support to the President’s Office, ensuring seamless operations in the absence of primary personnel
- Handle sensitive and confidential information with discretion and professionalism.
- Collaborate with other administrative offices, academic departments, and support staff to ensure seamless communication and coordination.
- Other duties as assigned.
Qualifications
- Bachelor’s degree or an equivalent mix of experience and education.
- 2-3 years of proven experience as an executive assistant or in a similar administrative role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to handle multiple tasks and prioritize effectively.
- Discretion and ability to maintain confidentiality.
- Experience in a higher education setting preferred.
- Knowledge of academic policies and procedures.
- Familiarity with the structure and functions of a liberal arts college.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Manual dexterity needed for keyboarding and other repetitive tasks.
- Must be able to lift and move up to 15 pounds without assistance.
