Key Responsibilities
- Calendar Management: Coordinate and maintain an accurate, up-to-date calendar for the COO; schedule meetings, appointments, and conference calls.
- Travel Arrangements: Plan and organize domestic and international travel logistics, including flights, accommodations, and itineraries.
- Communication & Correspondence: Draft, proofread, and edit emails, letters, and other documents; serve as the ?rst point of contact for internal and external communications on behalf of the President.
- Meeting Coordination: Prepare agendas and presentation materials; record meeting notes and track deliverables.
- Project & Task Management: Oversee deadlines, coordinate tasks with cross- functional teams, and provide timely status updates to ensure project completion.
- Office & Virtual Support: Collaborate with office staff to maintain supplies, coordinate IT support, and ensure the President’s remote work environment is fully functional.
- Confidentiality & Discretion: Handle sensitive information with integrity and maintain the highest level of con?dentiality.
- Experience: Minimum of 3–5 years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior executives.
- Education: A bachelor’s degree in business administration or a related ?eld is preferred; equivalent work experience will be considered.
- Technical Proficiency: Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Teams).
- Organizational Skills: Ability to efficiently manage multiple projects and priorities, with excellent attention to detail.
- Communication: Outstanding verbal and written communication skills; comfortable interacting professionally at all levels.
- Flexibility: Willingness to work in a hybrid environment and adapt to changing schedules; may require occasional travel.
- Problem-Solving: Strong critical thinking, initiative, and resourcefulness.
