Supervisor : Director of Event Planning

General Purpose :

The Signature Event Planner supports the goals of the museum and the Event Planning department by producing events from conception through completion for the museums major signature events, including exhibition opening receptions, large-scale gateway social events and other fundraising and stewardship events. They will act as the liaison between other museum departments and all those needed to plan and execute the event and ensure the delivery of excellent customer service and timely follow-up. This role is supervised by the Manager, Event Planning

Duties & Responsibilities :

  • Provide oversight and overall management of the major signature events organized by the Museum, Art in Bloom, Lakefront Festival of Art, and other events as assigned.
  • Partner with the Museum's Development Office to co-produce the Museum's annual Gala, with a focus on event design, production, logistics and contracted services.
  • Works with all museum departments, along with approved vendors, various Museum staff, and service team members to produce events in support of the institution's goals.
  • Prepare and monitor event budgets to ensure revenue and expense goals are met. Oversees that processes are executed in a timely manner with accuracy.
  • Utilize event management software to create and complete accurate event orders and floorplans.
  • In collaboration with the Development team, work closely with volunteer event co-chairs and other committee chairs to ensure event goals are met.
  • Update and distribute event orders and update museum calendars in a timely fashion to ensure cross departmental museum teams have accurate information in order to support events.
  • Manages all aspects of event execution including leading pre-shift meetings of event staff to ensure event expectations are met.
  • In conjunction with the Development and Marketing & Communications team, provide input of event marketing, including event invitations, mailings, brochures, signage and other promotional materials.
  • Work closely with the Museum's Food and Beverage and Facility teams to produce successful, efficient and fiscally responsible events.
  • Ability to work irregular hours and extended shifts including nights, early mornings, weekends, and holidays
  • Ensuring compliance with Museum policies and procedures.

Requirements

Education / Experience

  • Three years of experience (non-profit fundraising and / or special event experience preferred).
  • Bachelor's Degree in Event Management, Hospitality, Marketing or related fields.
  • Experience with event planning and floor planning software.
  • Additional experience in the hospitality and restaurant field a plus.
  • Skills & Abilities

  • Excellent written and verbal communication skills including the ability to effectively communicate before groups, guests, members, donors and / or museum staff members.
  • Impeccable customer service skills and a strong ability to serve as a trusted ambassador for the Museum to Trustees, major donors, and other leadership stakeholders both internally and externally.
  • Strong leadership skills to create a supportive and motivating work environment.
  • Good interpersonal skills to identify and establish a purposeful team culture.
  • Ability to work irregular hours and extended shifts including nights, early mornings, weekends, and holidays.
  • Attention to detail and highly organized.
  • Ability to establish priorities, meet deadlines, and handle numerous assignments concurrently.
  • Capacity to problem solve and think on your feet.
  • Office skills with ability to use standard office equipment and computer with familiarity in productivity tools such as Microsoft Word and Excel, and internet.
  • Creative and design skills a plus.
  • Physical Requirements

  • Stand for long periods of time.
  • Occasionally required to lift, carry, push, pull and / or move objects up to twenty-five (25) pounds and up to fifty (50) pounds with assistance.
  • While performing the duties of this job, the team member is regularly required to talk and hear; stand and walk, climb or balance, stoop, kneel, crouch, and crawl. The team member is frequently required to sit, use tools or controls, and reach with hands and arms.
