Supervisor: Manager of Support Groups & LFOA

Union Minimum Pay Rate: $20.50/hr

General Purpose:

The position will assist in the successful planning and implementation of the Museum’s Lakefront Festival of Art (LFOA), Milwaukee Art Museum’s signature event put on in collaboration with the Friends of Art (FOA) support group, as well as provide general administrative support to the support group program.


Typical Duties & Responsibilities:

  • Assist in organizing Lakefront Festival of Art logistics in collaboration with the LFOA Director, FOA board, and committee volunteers.
  • Maintain documents as festival information is finalized to ensure accurate information is shared cross-departmentally.
  • Assist in developing LFOA web content, program, and on-site signage
  • Manage the LFOA inbox and maintain communication with artists, provide acceptance status updates, share other important festival information as needed, and answer inquiries.
  • Submit invoices and track festival spending within the LFOA chart of accounts
  • Track FOA committee membership and maintain accurate records in Raiser’s Edge
  • Assist in preparing for quarterly support group board meetings and monthly LFOA committee meetings in the lead up to the festival (Feb-June); book rooms, prepare handouts, track RSVPs
  • Draft, format, and assist with the design of support group communications, including newsletters, member directories, event invitations, trip itineraries
  • Assist with the promotion of support group activities by submitting event details to the MAM website, updating group web pages, and creating informational collateral
  • Coordinate select support group event logistics, including RSVPs, room reservations, and nametags; attend operations meetings and share key information cross-departmentally
  • Track invoicing and payments for support group events with registration fees
  • Assist with special projects and departmental administrative duties as assigned
Requirements:

Qualifications:

  • Bachelor’s degree, 3 years of customer or client facing experience.
  • Strong communication, project management, and problem-solving abilities
  • Relationship-focused, strong interpersonal skills, ability to work with a wide variety of internal stakeholders as well as Museum donors, volunteers, and community partners
  • Exemplary written and verbal communication skills, highly organized, with the ability to manage multiple projects simultaneously and effectively
  • Proficiency in one or more of the following: Raiser's Edge, Basecamp, MS Office, including Word, Excel, PowerPoint, and Outlook
  • Flexible schedule required for Lakefront Festival of Art (June 13-15 in 2025), ability to work occasional nights and weekends throughout the year
  • Ability to be flexible and embrace changes within this position due to departmental priorities.
  • A positive attitude, professional demeanor, and entrepreneurial spirit

Physical Demands:

  • Remain stationary up to six hours per day
  • Lift packages up to 25 lbs on occasion
  • Move about the museum, offices, and off-site locations
  • Communicate clearly and accurately via phone, email, and in-person

Work environment:

Work is primarily in a busy office with people present and office machines in use.
