Administrative and Outreach Assistant
Milwaukee Community Service Corps (MCSC) is a non-profit organization that provides education, life skills and job training opportunities for Metro Milwaukee’s at-risk young adults and unemployed and underemployed adults. These opportunities allow them to earn wages while improving the community as well as the environment.
Job Summary
Supporting MCSC’s Programs, the Administrative Assistant performs a variety of administrative tasks including: ensuring all phone calls, messages and communications are responded to and distributed to appropriate MCSC employees; maintaining and/or creating files and paperwork in a highly efficient and organized manner; data entry, and other tasks as needed. This role also includes performing outreach activities including grassroots community outreach, serving as the MCSC representative at workforce and community events, and identifying potential partnerships with community and other organizations. Strong communication and organization skills and a willingness to help out on anything as needed is necessary to be successful in this role. You will play an integral role in helping in helping our trainees learn valuable job skills and get jobs.

Position: Full-time, Hourly

Responsibilities:
· Check voicemail. Answer phones, inquiries, and distribute messages and information as needed
· Assist clients by explaining MCSC programs/services and answering questions
· Make outgoing calls as assigned
· Answer door – greet and assist walk ins
· Data entry into spreadsheets and databases as assigned
· Upload postings on MCSC Facebook page
· Support training classes by: inviting referrals to training, making sign-in sheets, follow-up calls with referrals/trainees, copying class materials, typing verification letters, ordering and distributing certification cards, etc.
· Check Work Projects timecards and job reports, follow up with Work Projects Manager on any discrepancies and enter data
· Ensure education calendar is updated and maintained daily
· Create, modify, & distribute documents as assigned
· File, organize and maintain paper and electronic files.
· Sort and distribute mail and prepare mailings
· Log checks and direct to finance
· Occasionally receive cash, issue receipts, and direct cash to finance as needed
· Proactively assist MCSC management and staff
· Distribute Corps Member payroll as directed
· Participate in meetings and committees as assigned and needed
· Mail out letters and forms as assigned
Telephone and in-person grassroots outreach to community organizations to
increase awareness of MCSC and generate intakes for MCSC training programs
Represent MCSC at workforce and community events to generate program intakes
Identify and help develop partnerships with community and other organizations
· Other tasks and duties as assigned
Basic Qualifications:
- High school diploma
- Strong verbal and written communication
- Data entry experience and strong typing skills
- Self-motivated and organized
- Attention to detail
- Experience with MS Office (Word, Excel, Outlook)
- Reliable transportation to worksite
Preferred Qualifications
- Associate's or Bachelor's Degree or other credential or education
- 1 year experience as an Administrative Assistant
- Experience working with at-risk and disadvantaged individuals
