Administrative Specialist (Procurement)
Department of Administrative Services – Fiscal Affairs
Hourly Pay Range: $23.68 - $35.52

Job Summary:
The Administrative Specialist provides high-level administrative support to ensure the efficient operation of the Procurement Division. Their responsibilities typically include managing schedules, coordinating meetings, preparing reports, maintaining records, and handling correspondence. The Administrative Specialist may also oversee office procedures, assist with budgeting and procurement, and provide support to management or specialized departments.
Essential Responsibilities:
Provide operational support for County-wide Purchasing System Infor, interaction with internal users, suppliers, and vendors answering questions related to use, best practices, and operations requirements of system use.
Prepare and process documents and transactions within e-Procurement system for update of pricing and contractual agreements.
Assist buyers and contract managers to research, compile, analyze, and summarize statistical data.
Provides backup support to assist with reviewing Infor requisitions for conformance to the required criteria in accordance with pricing thresholds. Works with county-wide departments to ensure requisitions are properly submitted.
Provides support to Procurement Buyer and works with department staff to determine if price agreements will be renewed or rebid.
Add upcoming bids on the website; update vendor information in Infor system; update and maintain the Procurement Division Webpage.
Perform all other duties as assigned.
Minimum Requirements:
Current resident of Wisconsin.
Possession of a High School Diploma or G.E.D. equivalent.
Less than one (1) year or more experience with administrative functions.
Preferred Qualifications:
Excellent analytical and interpersonal skills.
Ability to prepare and provide training programs.
Strong communication skills, both oral and written.
Demonstrated problem solving capabilities and strong customer service orientation.
Familiarity with e-Procurement systems and use.
System administrative, management, oversight, and configuration skills.
