Job Summary
Serves the Chairperson and County Board to provide a variety of professional support to the Milwaukee County Board of Supervisors and Chief of Staff. Additionally, this position assists the Chief of Staff with managing day-to-day Board operations and acts as their backup in managing personnel and fiscal operations.
Schedule: This position will work during regular business hours with occasional evenings and weekends.
Job Responsibilities
Project Management - Advises the Chairperson and Chief of Staff and provides professional assistance, project management, and recommendations on County policy, fiscal processes, and office management. As needed, this position also coordinates with departments, including facilities, and liaises with stakeholders.
Community Engagement - Maintains and establishes collaborative relationships with stakeholders on policy, legislative, intergovernmental relations, communications, and budget matters. Coordinates with Chairperson Office on related scheduling and constituent relations. Works to find appropriate appointees for Chairperson review.
Policy Analysis and Legislative Responsibilities - Analyzes policy and fiscal matters and acts as an advisor to the Chairperson and Chief of Staff. Provides backup support to Chief of Staff on Legistar responsibilities. Supports with monthly Board meetings, and transitions of elected offices.
Lead Support for Constituent Services Specialist - Is a resource to district office. Creates and provides resources and trainings to support Supervisors with their district office workflows and departmental operations. Supervises and supports CSSs, Board intern, and receptionist.
Primary Admin of the Constituent Relations Management (CRM) Application - As the administrator, in coordination with IMSD, supports CRM application, data uploads, and system improvements to support departmental and district operations.
Budgets and Purchasing for Department and District Offices - Purchaser for departmental and district operations in coordination with Accounts Payable, Procurement, Central Business Office, and Treasurer. Manages internal expenditure tracking with CRM tool.
Human Resource and Payroll Coordination Support - Supports employee engagement and coordination with HR and Payroll, including Dayforce reporting and trainings, work rules and staff evaluations. Coordinates that employee timecards are completed, signed, and approved at the close of each pay period. Provides recommendations on all aspects of personnel actions.
Other duties as assigned.
Required Education, License/Certification and Experiences
Valid Driver’s License required and must be maintained throughout incumbency
Bachelor’s degree or higher and three (3) years or more of work experience in Government and Office Management OR a High School Diploma and five (5) years or more of work experience in Government and Office Management required
Three (3) years or more of Supervisory experience required
Advanced knowledge of all related computer and software applications such as Microsoft Word, Excel, Outlook, PowerPoint and Teams required
Preferred Experiences
Previous experience using CRM tool management and database management preferred
Previous database experience with mailings preferred
Previous experience using Salesforce preferred
