Job Summary: The office assitant at Boerner Botanical Garden is a support in the adminstrative offices and for the management team. Duties inclue purchasing, clerical entry, cash handling, permitting and volunteer program. This position will also support events and coordinate the campus calendar. Boerner Botanical Garden is a premier cultural attraction in southeast Wisconsin, located about 15 minutes from downtown Milwaukee.
Essential Duties and Responsibilities:
Administrative/Clerical / Reporting - Purchasing, manage google calendar, order supplies & minor equipment, Maintain & record attendance, permit and weather reports,grant reports, Advantage, RecTrac, INFOR,Maintain and track expenditures, including commodities, services, and labor, as well as revenue reporting and tracking using POS system, Rec Trac
Cash Handling / Petty Cash Mgt - Communicate with new volunteers, participate in volunteer orientation, schedule volunteers with horticulture staff, sort through volunteer inquiries, work with partner on volunteer opportunities and logistics.
Customer Service - Demonstrate poise and good judgement when handling inquiries, which requires both professional oral and written communication skills, assist with receptionist duties, answer park patron questions and rental questions.
Cash Handling / Petty Cash Mgt - Check that all deposits are done correctly, assembles and submits cash reports. Maintain the petty cash. Delivers cash deposits to banking locations using County vehicles. Working with accounting on corrections for cash reports and accuracy.
To set up inventories and codes and monitor contract - Maintain building inventories such as office supplies, cleaning supplies, building equipment, filters, etc. Apply correct coding when requesting purchases and requisitions. Monitor fire, safety, phone and elevator contracts, schedule quarterly and annual inspections.
Maintain plant records, ordering information - Compile plant ordering information for the Director. Maintain records when delivered and process billing - working closely with Boerner staff and Parks accounting/procurement.
Other miscellaneous Duties - office/lunchroom organization. Emptying trash, vacuuming, basic office cleaning. May be assigned additional duties based on the needs of events and botanical garden operations.
Minimum Education & Years of Experience Required:
Current resident of WI
Valis WI Driver’s License
High School Diploma or G.E.D equivalent
At least 2 (Two) years of experience in experience in administrative or office assistant role with emphasis on clerical work, cash handling and customer service
Ability to push/pull/carry/lift 25 lbs.
This position will work as an on-call weekend point of contact during the garden season. There will also be some requirements for working holidays during the summer season.
